1. Open rich text editing mode

Entry point: Message bar → Rich Text Editing button (Aa)

  1. Open a one-to-one chat in WPS Collaboration.
  2. Find the “Aa” icon in the toolbar at the bottom of the message bar.
  3. Click the “Aa” icon to expand the rich text toolbar.
  4. Confirm that the toolbar appears near the input area, then start editing.

Success Criteria

  • Interface result: The rich text toolbar is visible.
  • What you can do next: You can continue with text styles, lists, links, or other inserted content.

Tips While Using

  • Common mistake: Do not look for this feature in the More menu; the entry is the third item in the toolbar.
  • Environment note: You need to enter a one-to-one chat first.

2. Apply text styles and lists

Entry point: Rich text toolbar → Style buttons

  1. Open the rich text toolbar.
  2. Type your message in the input box.
  3. Click “B” for bold and click the italic button for italic text.
  4. Click “A” and its drop-down options to set text color.
  5. If you need structure, click the numbered list or bulleted list button.

Success Criteria

  • Interface result: The message shows the selected styles or list format.
  • What you can do next: You can continue adding text, links, or other content before sending.

Tips While Using

  • Common mistake: Check the cursor position or selected text before applying a style.

Entry point: Rich text toolbar → Hyperlink / Emoji / Screenshot buttons

  1. In rich text mode, type or select the content that needs extra context.
  2. Click the hyperlink button to insert a link into the message.
  3. Click the emoji button to insert an emoji.
  4. Click the screenshot button to capture an area and insert the image.
  5. Review the message to make sure the content is complete and easy to follow.
  • Interface result: The message shows the inserted link, emoji, or screenshot.
  • What you can do next: You can send the message directly or continue editing.
  • Common mistake: After inserting multiple elements, review the message order and readability again.
  • Environment note: Screenshot capture usually requires the related system permission.

4. Send or exit rich text editing

Entry point: Send button at the lower right of the message area / Close button on the right side of the rich text toolbar

  1. After editing, review the content, formatting, and inserted items.
  2. Click the Send button at the lower right to send the rich text message.
  3. If you do not need rich text editing anymore, click the “✕” button on the right side of the toolbar.
  4. After returning to normal input mode, you can continue sending plain text messages.

Success Criteria

  • Interface result: The message is sent, or the toolbar is closed and normal input mode is restored.
  • What you can do next: You can continue chatting, withdraw a message, or reopen rich text editing.

Tips While Using

  • Common mistake: Before closing rich text mode, make sure the message you want to send has already been sent.
