How-to Guide
1. Search conversations
Entry: Top of the Message List → Search box
- Open the WPS collaboration workspace and locate the search box at the top of the Message List.
- Type a conversation name or related keyword.
- Review the matching results.
- Click the target conversation to open the related chat window.
Success Criteria
- Interface result: Matching conversations appear based on your keyword.
- Next action: You can open the selected conversation and review its messages.
Tips While Using
- Common mistake: If the keyword is too short, the result list may be broad. Try a more specific name.
- Environment note: Your account message data needs to be synced.
2. Filter conversations by category
Entry: Below the search box → Category tabs
- Find the category tab bar below the search box in the Message List.
- Click a category such as All, @Me, Direct Chats, Documents, or Tags.
- Check that the Message List switches to the selected conversation type.
- Click All when you want to return to the full list.
Success Criteria
- Interface result: Only conversations in the selected category are shown.
- Next action: You can continue by opening any conversation in the filtered list.
Tips While Using
- Common mistake: After switching categories, users may think some conversations disappeared. Return to All to see the full list.
3. Pin or unpin a conversation
Entry: Message List → Right-click a conversation → Pin or Unpin
- In the Message List, find the conversation you want to keep in view.
- Right-click the conversation.
- Select Pin to keep it at the top of the list.
- To restore normal ordering, right-click the same conversation again and select Unpin.
Success Criteria
- Interface result: After pinning, the conversation stays at the top of the list and shows a pin indicator.
- Next action: After unpinning, the conversation returns to normal ordering.
Tips While Using
- Common mistake: If you do not right-click directly on the target conversation item, the menu may not appear.
4. Review Message List details
Entry: Left-side Message List area
- Review each conversation item in the left-side Message List.
- Identify the avatar, conversation name, and whether an External label appears.
- Check unread badges, the latest message preview, and the timestamp.
- If a Do Not Disturb icon appears, use it to understand the current notification status.
- Click any conversation to open the full chat content on the right side.
Success Criteria
- Interface result: You can see summary information for each conversation in the list.
- Next action: Clicking a conversation opens the related messages on the right side.
Tips While Using
- Common mistake: Looking only at the conversation name can cause you to miss unread badges or notification status. Review multiple indicators together.
5. Use more categories and management options
Entry: Category tab bar → More button
- Find the More button in the category tab bar.
- Click More to expand additional actions.
- Select options such as Manage Groups.
- Organize the conversation grouping structure based on your current collaboration needs.
Success Criteria
- Interface result: The additional actions menu opens after you click More.
- Next action: You can continue into group management or related organization actions.
Tips While Using
- Common mistake: The More button is not a standard category tab. It opens additional management actions.
