How-to Guide
1. Open the group management page
Entry path: WPS Teams client → target group chat → Chat Settings at the top right → Group Management
- Open the WPS Teams client.
- Select the target group chat to enter the chat page.
- Click Chat Settings at the top right to open the side panel.
- Click Group Management in the side panel.
Success Criteria
- Interface result: The group management page opens.
- What you can do next: You can continue to review admins, permissions, mute settings, and other options.
Tips While Using
- Only the group owner and group admins can access the group management page.
- Make sure you have joined the target group and signed in before opening it.
2. Manage group admins
Entry path: Group Management page → Member Permissions area → Group Admins
- Open the Group Management page.
- Review the current admin list in the Group Admins area.
- Click Add and select a member to add as a group admin.
- If needed, click Remove to remove a selected admin.
Success Criteria
- Interface result: The admin list is updated.
- What you can do next: You can continue adjusting permissions after adding or removing admins.
Tips While Using
- Confirm the target member's current responsibility before removing an admin role.
3. Configure member permissions
Entry path: Group Management page → Member Permissions area → Permission list
- Open the Group Management page.
- Review the available permission items in the Member Permissions area.
- Set permissions for actions such as editing group information, adding group members and sharing the group, sending urgent messages, pinning or unpinning group messages, managing announcements, adding bookmarks, starting meetings, starting polls, and using @all.
- For each item, choose All group members or Only the group owner and group admins from the drop-down menu.
Success Criteria
- Interface result: Each permission item shows the updated access scope.
- What you can do next: Group members will follow the updated permission scope in later actions.
Tips While Using
- It is often helpful to lock down key permissions first and then open routine collaboration permissions as needed.
4. Set mute rules
Entry path: Group Management page → Mute Settings
- Open the Group Management page.
- Click Mute Settings to open the mute dialog.
- Choose Everyone can speak, Mute all members, or Mute selected members.
- Click Confirm to save the setting.
Success Criteria
- Interface result: The mute mode is updated.
- What you can do next: Speaking permissions take effect under the new rule.
Tips While Using
- When all members are muted, the group owner and group admins can still speak.
- Muting selected members affects only the chosen members.
5. Enable confidential mode
Entry path: Group Management page → Confidential Mode
- Open the Group Management page.
- Review the current status in the Confidential Mode area.
- Click Confidential Mode to open the settings dialog.
- Select the restrictions you need, including blocking message copying, forwarding, favoriting, converting to to-do items, converting to schedules, converting to notes, adding reactions, downloading images, videos, and files, and taking screenshots or screen recordings.
- Click Confirm to save the setting.
Success Criteria
- Interface result: The confidential mode status is updated.
- What you can do next: The selected restrictions take effect in the group.
Tips While Using
- Confidential mode takes effect on Windows, iOS, and Android clients.
- iOS and some Android systems can also report violations in the group.
6. Configure join management
Entry path: Group Management page → Join Management
- Open the Group Management page.
- Review the approval switches in the Join Management area.
- Turn on People outside the group owner's company require approval to join or People in the group owner's company require approval to join as needed.
- Save the setting and let future join requests follow the selected rule.
Success Criteria
- Interface result: The approval switch status is updated.
- What you can do next: Future join requests will be processed under the selected approval rule.
Tips While Using
- Choose the approval scope based on whether the group is intended for cross-company collaboration.
7. View group records
Entry path: Group Management page → View and manage this group's sharing records / View member join and leave records
- Open the Group Management page.
- Click View and manage this group's sharing records to review shared links and file records.
- Click View member join and leave records to review member history.
Success Criteria
- Interface result: The related record page or record list opens.
- What you can do next: You can continue checking shared content or member changes.
Tips While Using
- Record viewing is useful for management review and collaboration tracing.
8. Configure other group chat settings
Entry path: Group Management page → Other settings
- Open the Group Management page.
- Turn on New members can view message history or Prefer group nicknames as needed.
- If you need to transfer ownership, click Transfer group owner and choose the new owner.
Success Criteria
- Interface result: The related switch or owner status is updated.
- What you can do next: Message history visibility, nickname display, or ownership permissions follow the new setting.
Tips While Using
- After ownership is transferred, the original owner no longer keeps the original owner permissions.
- Confirm that the recipient agrees to take over the group before transferring ownership.
