1. Open the Group Management page

Entry path: WPS Teams client → target group chat → Chat Settings in the upper-right area → Group Management

  1. Open the WPS Teams client.
  2. Open the target group chat.
  3. Click Chat Settings in the upper-right area to open the chat settings panel.
  4. Click Group Management in the panel.

Success Criteria

  • Interface result: The group management page or panel opens with management options.
  • Next action available: You can continue to member permissions, mute settings, confidentiality mode, and other settings.

Tips While Using

  • Only group owners and group admins can open the group management page.
  • If the entry is missing, confirm that your current account has management rights in the group.

2. Manage group admins

Entry path: Group Management → Member Permissions area → Group Admins

  1. Open Group Management.
  2. Find the Group Admins area and review the current admin list.
  3. Click Add to assign a member as a group admin.
  4. Click Remove to remove a selected group admin.

Success Criteria

  • Interface result: The group admin list is updated.
  • Next action available: Newly assigned admins can continue with group management tasks.

Tips While Using

  • Confirm the target member's responsibilities before changing admin roles.
  • After removal, that member no longer has the related management permissions.

3. Configure member permissions

Entry path: Group Management → Member Permissions → Permission items

  1. Open Group Management.
  2. Go to the Member Permissions area.
  3. Review the available permission items, including editing group info, adding members and sharing the group, sending urgent messages, pinning or unpinning messages, managing announcements, adding bookmarks, starting meetings, starting polls, and using @all.
  4. For each item, choose All group members or Only the group owner and group admins.

Success Criteria

  • Interface result: Each permission item shows the updated access scope.
  • Next action available: Member actions follow the new rules afterward.

Tips While Using

  • It is often helpful to restrict high-impact actions first, then open them as needed.
  • Permission changes directly affect what regular members can do.

4. Set mute rules

Entry path: Group Management → Mute Settings

  1. Open Group Management.
  2. Click Mute Settings.
  3. Choose one mode: All members can speak, Mute all members, or Mute selected members.
  4. Click Confirm to save the setting.

Success Criteria

  • Interface result: The mute status shows the selected mode.
  • Next action available: Speaking permissions in the group follow the new rule right away.

Tips While Using

  • When all members are muted, only the group owner and group admins can speak.
  • Muting selected members is useful for temporary control of specific users.

5. Turn on confidentiality mode

Entry path: Group Management → Confidentiality Mode

  1. Open Group Management.
  2. Click Confidentiality Mode.
  3. Select the restrictions you need, including blocking message copying, forwarding, favoriting, converting to to-do items, converting to schedules, converting to notes, adding reactions, downloading images, videos, and files, and taking screenshots or screen recordings.
  4. Click Confirm to save the setting.

Success Criteria

  • Interface result: Confidentiality mode shows as enabled or displays the selected restrictions.
  • Next action available: Sensitive content in the group follows the selected protection rules.

Tips While Using

  • Confidentiality mode takes effect on Windows, iOS, and Android clients.
  • iOS and some Android systems can also report violations in the group.
  • You can configure the setting on macOS, but the effective client scope follows the supported platforms.

6. Configure join management

Entry path: Group Management → Join Management

  1. Open Group Management.
  2. Find the Join Management area.
  3. Turn on Users outside the group owner's enterprise require approval to join if needed.
  4. Turn on Users inside the group owner's enterprise require approval to join if needed.

Success Criteria

  • Interface result: The approval switches show the updated state.
  • Next action available: Future join requests follow the selected approval rules.

Tips While Using

  • Choose the approval scope based on how open or restricted the group should be.
  • Changes affect the join flow for future members.

7. View group records

Entry path: Group Management → View and manage this group's sharing records / View member join and leave records

  1. Open Group Management.
  2. Click View and manage this group's sharing records to review shared links and files.
  3. Click View member join and leave records to review membership history.

Success Criteria

  • Interface result: The related record list opens.
  • Next action available: You can continue reviewing sharing activity or membership changes.

Tips While Using

  • These records are useful for reviewing collaboration history.
  • If there are many records, review them with a clear time range or event goal.

8. Configure other group settings

Entry path: Group Management → Other Settings

  1. Open Group Management.
  2. Turn on New members can view message history if needed.
  3. Turn on Prefer group nicknames for display if needed.
  4. If ownership needs to change, click Transfer group owner and choose the new owner.

Success Criteria

  • Interface result: The related switches are updated, or ownership transfer is completed.
  • Next action available: Members use the group under the updated display and history rules.

Tips While Using

  • Confirm that the new owner is ready before transferring ownership.
  • After the transfer, the original owner no longer keeps the original owner permissions.
