1. Open the File Cleanup page

Entry path: Enterprise Admin Console → WPS Collaboration → Chat File Management → File Cleanup

  1. Sign in to the enterprise admin console.
  2. In the left navigation pane, click WPS Collaboration to expand the collaboration menu.
  3. Click Chat File Management to open the management page.
  4. Click the File Cleanup tab.

Success Criteria

  • Interface result: The page shows the filter area and the file list.
  • Next step available: You can set search conditions and run a search.

Tips While Using

  • You must sign in with an enterprise administrator account.
  • If the entry is not visible, check your current account permissions.

2. Search files

Entry path: File Cleanup tab → Filter area

  1. Set the search conditions you need in the filter area.
  2. You can filter by file type, file status, owner status, file size, and inactive days.
  3. You can also enter a name or UID, or a file name or file ID, to narrow the results.
  4. If you want to start over, click Clear all conditions.
  5. Click Search to view matching files.

Success Criteria

  • Interface result: The file list shows results that match the current conditions.
  • Next step available: You can select files in the results list and delete, restore, or permanently destroy them.

Tips While Using

  • If you have many conditions, start with the most important filters and then refine the results.
  • When entering a UID or file ID, make sure the identifier is accurate.

3. Delete, restore, and permanently destroy files

Entry path: File Cleanup tab → File list → Actions

  1. Search for the target files first.
  2. In the file list, select the files you want to process.
  3. Choose the required action: Delete, Restore, or Permanently Destroy.
  4. Deleted files can be restored to the original location within 60 days.
  5. After permanent destruction, the file cannot be restored.

Success Criteria

  • Interface result: The file status changes according to the action you performed.
  • Next step available: You can continue reviewing file name or ID, type, owner, size, last active time, and status.

Tips While Using

  • Delete and Permanently Destroy are different actions, so confirm before you proceed.
  • For important files, verify the file name, owner, and status before taking action.
