How-to Guide
1. Share a document from the cloud document list
Entry path: Left sidebar → Documents → Share entry for the target file
- Click Documents in the left sidebar to open the cloud document view.
- Find the file you want to share, then click the Share icon on the right side of the file, or right-click the file and choose the share option.
- In the sharing dialog, click Enable collaboration to get a cloud document link.
- After collaboration is enabled, review the generated cloud document link and click Copy Link.
- Open the Link permissions drop-down menu and choose the access level you want.
- If you need more control, click Advanced settings to adjust additional permission options.
Success Criteria
- Interface result: the sharing dialog shows a cloud document link that can be copied.
- Next action available: you can copy the link and continue changing link permissions.
- No side effect: you can finish sharing without opening the document content first.
Tips While Using
- Common mistake: if collaboration is not enabled first, the link will not be generated.
- Environment note: an internet connection is needed to create the cloud document link and sync permission changes.
2. Share directly from inside a document
Entry path: Top toolbar in the document editing window → Share
- Open the document you want to share and enter the editing window.
- Find the Share button on the right side of the top toolbar and click it.
- In the sharing dialog, click Enable collaboration to get a cloud document link.
- After collaboration is enabled, review the generated link and click Copy Link.
- In the Link permissions drop-down menu, choose the access level you want.
- If needed, click Advanced settings to adjust more permission options.
Success Criteria
- Interface result: the editing window opens the sharing dialog directly and shows a shareable link.
- Next action available: after copying the link, you can send it to collaborators right away.
- No side effect: the current document stays open and you can keep editing.
Tips While Using
- Common mistake: if the target file is not open, you cannot share that file from the in-document entry.
- Environment note: online collaboration and permission changes require an internet connection.
