How-to Guide
1. Search conversations
Entry: Top of Message List → Search box
- Open the WPS collaboration workspace and locate the search box at the top of the Message List.
- Enter a conversation name or keyword in the search box.
- Review the matching conversation results shown in the list.
- Click the target conversation to open the related chat window.
Success Criteria
- Interface result: Matching conversations appear in the list.
- Next action: You can open the selected conversation and read its messages.
Tips While Using
- Common mistake: If the keyword is too broad, too many results may appear. Try a more specific conversation name.
- Environment note: If messages have not finished syncing, the result list may not update immediately.
2. Filter chat categories
Entry: Below the search box → Category tabs
- Find the category tab bar below the search box in Message List.
- Click All to view all conversations under the current account.
- Click @Me to view conversations that include mentions for you.
- As needed, click Direct Messages, Documents, or Tags to switch to the related conversation view.
Success Criteria
- Interface result: The list updates to show only conversations in the selected category.
- Next action: You can click any listed conversation to open its chat content.
Tips While Using
- Common mistake: If you cannot find a target conversation after switching categories, return to All and check again.
3. Pin or unpin a conversation
Entry: Message List → Right-click a conversation → Pin / Unpin
- In Message List, find the conversation you want to keep visible.
- Right-click the conversation to open the shortcut menu.
- Select Pin to keep the conversation at the top of the list.
- To restore the normal order, right-click the same conversation again and select Unpin.
Success Criteria
- Interface result: A pinned conversation stays at the top of the list and shows a pin indicator.
- Next action: After unpinning, the conversation returns to the regular order.
Tips While Using
- Common mistake: If the shortcut menu does not appear, make sure the pointer is on a specific conversation item.
4. Review the message list
Entry: Left-side Message List area
- Open the collaboration workspace and review the conversation items in the left-side Message List.
- Check the avatar and conversation name to identify a group chat or direct message quickly.
- Review external labels, unread badges, message previews, and timestamps to judge priority.
- If a do-not-disturb icon appears, use it to understand the current notification status of that conversation.
- Click any conversation to view the full chat content on the right side.
Success Criteria
- Interface result: The list shows avatars, names, unread counts, timestamps, and related status details.
- Next action: Clicking a conversation switches the chat area to that content.
Tips While Using
- Common mistake: Unread badges alone may not be enough to judge priority. Check the timestamp and preview together.
5. Open more categories and management options
Entry: Category tab bar → More button
- Find the More button in the category tab bar.
- Click More to open the additional actions menu.
- In the pop-up menu, select Manage Groups.
- Organize the conversation grouping structure based on your current collaboration needs.
Success Criteria
- Interface result: Clicking More opens an extended actions menu.
- Next action: After entering Manage Groups, you can continue organizing conversation groups.
Tips While Using
- Common mistake: If you cannot find the management option, first confirm that you are in the Message List category area.
- Environment note: This management item is described as available on PC, so use the entry that is visible in your current client.
