1. Open the Chat File Management page

Entry path: Enterprise Admin Console → WPS Collaboration → Chat File Management → File Cleanup

  1. Sign in to the enterprise admin console.
  2. In the left navigation pane, click WPS Collaboration.
  3. Click Chat File Management.
  4. Click the File Cleanup tab to open the page.

Success Criteria

  • Interface result: The page shows the file cleanup filters and the file list.
  • Next action available: You can continue setting filters and searching for files.

Tips While Using

  • You need enterprise administrator permissions to access this entry.
  • If the page does not load completely, check your network connection and account permissions first.

2. Search for files

Entry path: File Cleanup tab → Filter area

  1. Set the conditions you need in the filter area.
  2. You can filter by File Type, File Status, Owner Status, File Size, and Inactive Days.
  3. You can also enter Name or UID and File Name or File ID for a more precise search.
  4. If you want to reset the filters, click Clear all conditions.
  5. Click Search to view matching files.

Success Criteria

  • Interface result: The file list returns results based on the current conditions.
  • Next action available: You can delete, restore, or permanently destroy files from the results.

Tips While Using

  • Too many conditions may narrow the results too much, so start with key filters and refine step by step.
  • When entering a name, UID, file name, or file ID, make sure the information is complete.

3. Delete, restore, and permanently destroy files

Entry path: File Cleanup tab → File list → Actions

  1. Search for the target files first.
  2. Select the files you want to process in the file list.
  3. Choose the action you need: Delete, Restore, or Permanently Destroy.
  4. Deleted files can be restored within 60 days.
  5. Files that are not restored within 60 days are automatically permanently destroyed.
  6. Permanently destroyed files cannot be restored.

Success Criteria

  • Interface result: The file status updates based on the action result.
  • Next action available: You can continue reviewing file details such as file name or ID, type, owner, size, recent activity time, status, and actions.

Tips While Using

  • Delete and Permanently Destroy are different actions, so confirm before you proceed.
  • Permanent destruction cannot be reversed and is suitable for files that no longer need to be retained.
