1. Open the group chat scheduling view

Entry path: Group chat window → bottom toolbar → calendar icon with the Schedule/To-do tooltip → Schedule Group Chat

  1. Open the target group chat window.
  2. Find the calendar icon in the bottom toolbar.
  3. Hover over the icon and confirm that the tooltip shows Schedule/To-do.
  4. Click the icon and choose Schedule Group Chat from the drop-down menu.
  5. Open the participant time occupancy view.

Success Criteria

  • Interface result: the scheduling page opens and shows the date timeline and participant information.
  • Next action available: you can continue to review availability and choose a suggested time.

Tips While Using

  • Common mistake: clicking another bottom toolbar button opens a different collaboration feature.
  • Environment note: you need to enter the target group chat first.

2. Check participant availability and suggested times

Entry path: Scheduling view → date timeline / participant occupancy view → Suggested Time

  1. Review the date timeline in the scheduling view.
  2. Check participant avatars and current occupancy across the timeline.
  3. Identify a time range that works for the group.
  4. Click Suggested Time in the lower-right area.
  5. Review the recommended free time and the day offset information.

Success Criteria

  • Interface result: the page shows recommended times such as Today 16:00 or 3 days later 09:00.
  • Next action available: you can choose a recommended slot and continue to create a schedule.

Tips While Using

  • Common mistake: skipping the occupancy view may cause you to miss a busy period for one participant.
  • Environment note: keep the network connected so schedule status can sync normally.

3. Add a schedule and save it

Entry path: Suggested time result → Add Schedule → new schedule dialog → Save

  1. Choose a suitable time from the recommended results.
  2. Click Add Schedule.
  3. In the new schedule dialog, confirm that the selected time has been filled in automatically.
  4. Add details such as the subject, video meeting, or meeting document as needed.
  5. Click Save to finish creating the schedule.

Success Criteria

  • Interface result: the new schedule dialog contains the selected time information.
  • Next action available: after saving, the schedule can be used in later collaboration steps.

Tips While Using

  • Common mistake: saving without adding a meeting subject can make the event harder to identify later.
