1. Open the Lightweight Approval admin console

Entry path: Workspace → Lightweight Approval → Admin Console

  1. Open WPS Office and go to Workspace in the left navigation pane.
  2. Find Lightweight Approval in the app list and open it.
  3. On the Lightweight Approval page, click Admin Console at the top.
  4. Review modules such as My Templates, Template Management, Data Management, and Permission Management.

2. Create a new approval template

Entry path: Lightweight Approval Admin Console → Template Management → New Template

  1. In the admin console, click Template Management.
  2. Click the + New Template button.
  3. On the template editing page, prepare to complete Basic Settings, Form Settings, Process Settings, and More Settings.
  4. After configuration is complete, click Publish.

3. Configure Basic Settings

Entry path: Template editing page → Basic Settings

  1. Enter the template name in Basic Settings.
  2. Select a template icon.
  3. Choose the template group.
  4. Set the visibility scope.

  6. Click Form Settings to continue.

  • Interface result: The basic information is saved in the current template configuration.

4. Edit Form Settings

Entry path: Template editing page → Form Settings

  1. Review basic controls, advanced controls, and other controls in the left panel.
  2. Drag or click controls to add them to the form design area on the right.
  3. Select a control and edit options such as title, input hint, required status, and print participation in the settings panel.
  4. Use the copy or delete actions at the top to manage controls.
  5. Drag the sort handle above a control to change its position.
  6. Click Process Settings when finished.

5. Set the approval process

Entry path: Template editing page → Process Settings

  1. Build the approval flow with connected nodes in Process Settings.
  2. Click the + Start Approval node and set the approver type, such as initiator-selected, specified member, supervisor, department head, or user group.
  3. Set single-select or multi-select behavior and choose rules such as sequential approval, joint approval, or one-of-many approval as needed.
  4. Set how the system handles an empty approver, such as transferring to the template administrator or approving automatically.
  5. Click the + CC node and configure the CC type and selection scope.
  6. Add more approval or CC nodes as needed, then click More Settings.

Success Criteria

  • Interface result: The process diagram shows approval nodes and CC nodes.
  • Next action available: You can continue to advanced settings.

Tips While Using

  • Approval rules affect how multi-person approval is processed.
  • Confirm your internal approval chain before configuring nodes.

6. Configure More Settings

Entry path: Template editing page → More Settings

  1. In approver action settings, turn on options such as one-click approval, required reason for rejection, required reason for return, and signature on approval as needed.
  2. Set the approver deduplication strategy.
  3. In initiator action settings, configure whether withdrawal is allowed.
  4. In print and permission settings, choose a print template and set access permissions.
  5. Review all settings and click Publish at the top.

  • Interface result: Advanced settings are complete and the template is ready to publish.
  • Next action available: After publishing, you can continue managing the template from the list.

7. Manage existing templates

Entry path: Lightweight Approval Admin Console → Template Management / My Templates

  1. Open the template list to review the template name, visibility scope, last updated time, and action buttons.
  2. Use the search box to find a template by name.
  3. Use actions such as Edit, Disable, Transfer Template, Duplicate Template, or Delete as needed.
  4. To continue changing template content, click Edit to reopen the template editing page.

Success Criteria

  • Interface result: The template list displays correctly and management actions are available.
  • Next action available: You can maintain an existing template or duplicate it for reuse.

Tips While Using

  • Deleted templates cannot be restored.
