1. Open the Light Approval admin console

Entry: Workspace → Light Approval → Admin Console

  1. Click Workspace in the left navigation pane.
  2. Find and open Light Approval in the app list.
  3. Click Admin Console at the top of the Light Approval page.
  4. Review the four modules: My Templates, Template Management, Data Management, and Permission Management.

Success Criteria

  • Interface result: The Light Approval admin console opens successfully.
  • Next action: You can create a new template or manage existing templates.

Tips While Using

  • Environment note: Opening Light Approval requires network access and the right account permissions.

2. Create a new approval template

Entry: Light Approval Admin Console → Template Management → New Template

  1. In the admin console, click Template Management.
  2. Click + New Template.
  3. In the template editor, complete Basic Settings, Form Settings, Process Settings, and More Settings in order.
  4. Click Publish after the configuration is complete.

Success Criteria

  • Interface result: The template is ready to publish or has already been published.
  • Next action: You can continue editing details or return to the template list.

3. Configure Basic Settings

Entry: Template editor → Basic Settings

  1. Enter the template name.
  2. Select a template icon.
  3. Choose a template group.
  4. Set the visibility scope.
  5. Add template administrators.
  6. Click Form Settings to continue.

Success Criteria

  • Interface result: The basic information is saved in the current template.
  • Next action: You can continue to Form Settings.

Tips While Using

  • Common mistake: If the template name is empty, the template setup is incomplete.

4. Edit Form Settings

Entry: Template editor → Form Settings

  1. Review basic controls, advanced controls, and other controls in the left panel.
  2. Drag controls to the form design area on the right, or click controls to add them.
  3. Select a control and edit properties such as title, input hint, required status, and print participation in the right settings panel.
  4. Use copy, delete, or drag-to-sort actions to adjust the layout.
  5. Click Process Settings when the form is ready.

Success Criteria

  • Interface result: The required controls appear in the form design area.
  • Next action: You can continue to configure the approval process.

Tips While Using

  • Common mistake: You cannot edit a control's properties until that control is selected.

5. Set the approval process

Entry: Template editor → Process Settings

  1. Build the process by connecting nodes in the process settings page.
  2. Click the + Start Approval node and set the approver type, selection method, approval rule, and selection scope.
  3. Configure the fallback method for cases where no approver is available.
  4. Click the + CC node and set the CC recipient type and scope.
  5. Add more approval nodes or CC nodes as needed.
  6. Click More Settings when the process is complete.

Success Criteria

  • Interface result: The process diagram shows the required approval and CC nodes.
  • Next action: You can continue to More Settings.

Tips While Using

  • Common mistake: If the approval rule does not match the approver selection method, the process may not behave as expected.

6. Configure More Settings

Entry: Template editor → More Settings

  1. Configure approver actions such as one-click approval, required rejection reason, required return reason, and signature on approval.
  2. Enable initiator withdrawal if needed.
  3. Select a print template.
  4. Set access permissions for approval form details.
  5. Click Publish at the top when everything is ready.

Success Criteria

  • Interface result: Advanced template options are configured and ready for publishing.
  • Next action: You can publish the template and start using it.

Tips While Using

  • Common mistake: If you do not review permission settings before publishing, later visibility may not match your needs.

7. Manage existing templates

Entry: Light Approval Admin Console → Template Management / My Templates

  1. Open Template Management or My Templates to view the template list.
  2. Review information such as template name, visibility scope, and last updated time.
  3. Use actions such as edit, disable, transfer, copy, or delete as needed.
  4. Use the search box to find a template by name.

Success Criteria

  • Interface result: The template list reflects the management action you completed.
