1. Open the Chat Security settings page

Entry path: Enterprise Admin Console → Security Control → Chat Security

  1. Sign in to the WPS 365 admin console.
  2. Click Security Control to expand the related menu.
  3. Select Chat Security to open the chat security management page.

Success Criteria

  • Interface result: The page shows chat security configuration sections.
  • Next action available: You can continue with device limits, domain allowlists, and mobile security settings.

Tips While Using

  • Permission note: Enterprise admin permissions are required.

2. Turn on chat client device sign-in limits

Entry path: Chat Security page → Chat Client Device Sign-in Limits

  1. Open the Chat Security page.
  2. Find the Chat Client Device Sign-in Limits section and turn it on.
  3. After it is enabled, the same member account can stay signed in on up to 1 computer, 1 phone, and 1 tablet at the same time.
  4. Note that when a new device of the same type signs in, the previous device signs out automatically.

Success Criteria

  • Interface result: The device limit switch is turned on.
  • Next action available: Admins can continue adjusting other chat security policies.

Tips While Using

  • Common mistake: This setting cannot be changed before opening the Chat Security page.

Entry path: Chat Security page → Allowed Domains for Links Opened Inside the Chat Client → Settings

  1. Open the Chat Security page.
  2. In the Allowed Domains for Links Opened Inside the Chat Client section, click Settings.
  3. Enter valid domains in the allowlist box and separate them with half-width commas.
  4. Keep the total within 250 domains and 5000 characters.
  5. You can use formats such as 10.1.1.1,*wps.cn,wps.cn.
  6. Click OK to save the configuration.

  • Interface result: The domain allowlist is saved.
  • Next action available: Links that match the allowlist can open inside the chat client.

Tips While Using

  • Common mistake: Use half-width commas as separators.
  • Usage impact: Custom apps and cloud documents follow their own settings and are not controlled by this domain configuration.

4. Configure restrictions for external opening actions

Entry path: Chat Security page → Restrictions for External Opening Actions

  1. Open the Chat Security page.
  2. In the Restrictions for External Opening Actions section, turn on the blocking switch.
  3. After it is enabled, external opening entry points are blocked.
  4. Copy-link related entry points in the message flow are also blocked.

Success Criteria

  • Interface result: The blocking switch is turned on.
  • Next action available: Members no longer see the related entry points in the client container framework.

Tips While Using

  • Usage impact: This setting reduces the available paths for content to move from the chat client to external environments.

5. Configure mobile security settings

Entry path: Chat Security page → Mobile Security Settings → Settings

  1. Open the Mobile Security Settings page.
  2. In the Disabled Actions on Mobile section, select the items you want to disable. Multiple selections are supported.
  3. You can block members from saving received or captured images and videos to the local phone gallery.
  4. You can block copying and pasting chat content outside the app while still allowing copy and paste inside the current app.
  5. You can block non-cloud chat files from being opened by other apps or saved to local phone storage.
  6. You can block web sharing, including copy-link and open-in-browser entry points.
  7. If specific members need exceptions, click Add in the Allowlist section and select the members.
  8. Click Save to finish the configuration.

Success Criteria

  • Interface result: The selected disabled actions and allowlisted members are saved.
  • Next action available: Mobile members follow the updated content-sharing restrictions.

Tips While Using

  • Common mistake: If you do not click Save, the selected options do not take effect.
  • Usage impact: Allowlisted members are not affected by the corresponding mobile restrictions.
