How-to Guide
1. Create a Contact Field
Entry path: Header right-side “+” button → Contact field
- Click the “+” button on the right side of the table header.
- Select Contact from the field type list.
- Turn on Allow selecting multiple contacts or Allow sending notifications to newly inserted contacts as needed.
- Decide whether to enable extended details. When enabled, employee department, direct manager, and related details can sync automatically.
- Enter a field name and click OK to finish.
Success Criteria
- Interface result: the new contact field appears in the table header.
- Next action available: clicking a cell in that field opens the contact picker.
Tips While Using
- Common mistake: saving before confirming the field name, then needing to reopen settings to rename it.
- Environment note: if organization directory information is incomplete, the available contact range may be affected later.
2. Add Contacts
Entry path: Target cell → Search contacts → Select and confirm
- Click the target cell to open the contact picker.
- Enter a contact name or keyword in the search box.
- Select the target contact from the results.
- The selected contact is linked to the system directory automatically.
Success Criteria
- Interface result: the selected contact appears in the cell.
- Next action available: you can continue editing other fields, or add more contacts if multi-select is enabled.
Tips While Using
- Common mistake: using a keyword that is too broad, which makes the result list harder to narrow down.
- Environment note: keep the network connected and make sure the contact is within the collaboration scope.
3. Set a Default Value
Entry path: Right-click field title → Field Settings → Default Value
- Right-click the contact field title and select Field Settings.
- Open the Default Value drop-down list.
- To use a fixed contact, choose Specified person and search for the target contact.
- To fill in the record creator automatically, choose The person who adds this record.
- Save the setting. New records will use the default contact automatically.
Success Criteria
- Interface result: the default value option is saved in field settings.
- Next action available: when you add a new record, the contact field fills in the preset value automatically.
