1. Open Email Migration

Entry path: Enterprise Admin Console > WPS Collaboration > Mail Management > Email Migration

  1. Sign in to the enterprise admin console.
  2. Open WPS Collaboration.
  3. Select Mail Management and then Email Migration.
  4. Review the existing migration information list.
  5. Click New Migration to create a task.

Success Criteria

  • Interface result: The Email Migration page opens and shows the existing migration information list.
  • Next action available: You can click New Migration to continue.

Tips While Using

  • Use an enterprise account with admin permissions.
  • Before creating a task, confirm the mailbox management scope for your organization.

2. Choose the migration domain and scope

Entry path: Email Migration > New Migration > Select migration domain

  1. Open the Select migration domain step in the new migration flow.
  2. Choose the target migration domain.
  3. Set the migration scope based on your plan.
  4. Select one of these scope options: all existing mailboxes in the organization, part of the existing mailboxes in the organization, or newly assigned mailboxes later.

Success Criteria

  • Interface result: The target domain and migration scope are selected.
  • Next action available: You can continue to source mail configuration.

Tips While Using

  • The selected scope determines which mailboxes are included in the task.
  • For staged rollout, start with part of the existing mailboxes.

3. Configure source mail settings and verify access

Entry path: Email Migration > New Migration > Configure source mail settings

  1. Open the Configure source mail settings step.
  2. Select the source service provider.
  3. Enter the source incoming mail server settings.
  4. Complete sign-in verification to confirm access to the source mailbox data.

Success Criteria

  • Interface result: The source mail information is filled in and sign-in verification succeeds.
  • Next action available: You can continue to the task start step.

Tips While Using

  • Prepare the source mail connection details and sign-in information in advance.
  • If verification fails, check the server address and account details first.

4. Start the migration task

Entry path: Email Migration > New Migration > Start migration

  1. Review the selected domain, scope, and source mail settings.
  2. Confirm that the task information is correct.
  3. Start the migration task.

Success Criteria

  • Interface result: The migration task is created and starts running.
  • Next action available: You can return to the migration list to review task status.

Tips While Using

  • Review the migration scope again before starting the task.
  • After the task starts, monitor progress and results based on your rollout plan.
