How-to Guide
1. Start collaboration from the Share button
Entry point: Top right of the window → Share
- Open the document you want to share in WPS Office.
- Click the Share button at the top right.
- Turn on the option to view or edit with others.
- Click Upload Now and wait for the document to switch to collaboration mode.
- After the upload is complete, continue by setting link permissions and copying the link for collaborators.

Tips While Using
- Sign in to your WPS account before enabling collaboration.

2. Set link permissions
Entry point: Share → Link permissions drop-down menu
- In the Share panel, click the Link permissions drop-down menu.
- Select Anyone can edit, Anyone can view, or Designated people can edit/view.
- Set a validity period as needed, such as 7 days, 30 days, or long-term.
- Confirm the settings, then copy the link and send it to the relevant people.
Success Criteria
- UI state: The selected link permission and validity period are shown in the current settings.
- Next actions: The copied link can be sent to collaborators.
Tips While Using
- Check the permission type again before sending the link to avoid granting broader access than intended.
- Designated-person access is more suitable for documents that need tighter access control.
3. View collaboration records
Entry point: Top-left menu → Version History and Records → Collaboration Records
- Open a document that already has collaboration enabled.
- Click the menu button at the top left.
- Open Version History and Records.
- Select Collaboration Records to view collaborator activity times and content changes.
Success Criteria
- UI state: You can see the collaborator list or the related edit records.
- Next actions: You can continue checking content or restore an earlier version based on the records.
Tips While Using
- Collaboration records depend on a document that has been saved to the cloud.
- If collaboration has not been enabled or the file has not been uploaded to the cloud, the related records may not be visible.
