1. Set Link Permissions
Entry point: Share → Link Permissions
- Open the document and click Share in the upper-right corner.
- Turn on View/Edit with Others.
- Click Link Permissions.
- Under Who Can Open, choose Everyone or Specific People.
- Under Permissions, choose Edit, View and Comment, or View.
Success Criteria
- UI state: The Share panel shows the current link permission settings.
- Next actions: You can copy the link and send it to collaborators.
- No side effects: The shared link uses the updated permission immediately without creating a new link.
Tips While Using
- Common mistakes: If View/Edit with Others is not turned on first, you may not be able to continue with link permission settings.
- Environment limits: This feature requires collaboration mode and a working internet connection.
2. Set Link Expiration
Entry point: Share → Advanced Settings → Link Expiration
- Open the document sharing page.
- Click Advanced Settings.
- Find Link Expiration.
- Choose Never Expires, 7 Days, or 30 Days as needed.
- Confirm that the current expiration setting has been updated before closing the panel.
Success Criteria
- UI state: Advanced Settings shows the selected link expiration value.
- Next actions: You can continue sharing the link, and recipients can access it during the valid period.
- No side effects: Changing the expiration does not require you to send a new link.
Tips While Using
- Common mistakes: Changing permissions without checking expiration can leave a link active longer than expected.
- Environment limits: Link expiration depends on online sharing and cannot sync changes while offline.
