How-to Index

How-to Guide

1. Quick Sort (Ascending/Descending)

Entry point: Data tab → Sort button → Ascending / Descending

  1. Select any cell in the column that you want to sort.
  2. Click the Sort button on the Data tab.
  3. Choose Ascending or Descending from the menu.
  4. Wait for WPS to reorder the full table based on the selected column values.

Success Criteria

  • UI state: the records are reordered according to the selected sort order.
  • Next actions: you can continue filtering, editing, or saving the sheet.
  • No side effects: related row data stays aligned instead of moving only one column.

Tips While Using

  • Common mistakes: checking only one column and overlooking whether the full table was sorted correctly.
  • Environment limits: in collaborative files, the new order may sync to other collaborators.

2. Custom Sort (Multi-level Sort)

Entry point: Data tab → Sort button → Custom Sort

  1. Select any cell in the target data range.
  2. Click Data → Sort → Custom Sort.
  3. In the Custom Sort dialog, set the primary key, sort basis, and order.
  4. Click + Add Condition if you need more sort levels.
  5. Remove a condition if needed, then confirm the remaining rules.
  6. Click OK to run the sort.

Success Criteria

  • UI state: the data is sorted by the primary key first and then by secondary conditions when values match.
  • Next actions: you can reopen the dialog and refine the rules again.
  • No side effects: when header settings are correct, the header row is not sorted as regular data.

Tips While Using

  • Common mistakes: not confirming whether the table includes a header row before sorting.
  • Environment limits: confirm that all related columns are included in the selected range.

3. More Settings

Entry point: Custom Sort dialog → More Settings

  1. Open the Custom Sort dialog first.
  2. Click More Settings.
  3. Adjust the sort direction, such as sorting by rows or by columns.
  4. Turn case sensitivity and other range options on or off as needed.
  5. Return to the main dialog and complete the sort.

Success Criteria

  • UI state: the result matches the selected direction, case, and other extra settings.
  • Next actions: you can still change the main key or secondary conditions afterward.
  • No side effects: the extra settings affect the current sort result without changing the original field content.

Tips While Using

  • Common mistakes: mixing up sort-by-row and sort-by-column settings.
  • Environment limits: merged cells may cause unexpected results, so it is better to clean up the table structure first.
