1. Open the Share panel

Entry: the Share option in the top menu bar, or the Share button in the WPS document list.

  1. Open the smart spreadsheet you want to work with.
  2. Tap Share in the top menu bar.
  3. If you want to start from the file list, find the target smart spreadsheet in the Recent or Local list on the WPS home page.
  4. Tap the Share button to the right of the file name to enter the sharing page.

Success Criteria

  • Interface result: You enter the sharing page and can see options such as sharing scope, joined collaborators, and sharing settings.
  • Next action available: You can continue to copy a link, adjust permissions, or choose another sharing method.

Tips While Using

  • Common mistake: If you are not in the smart spreadsheet view, you may not see the Share entry in the top menu bar.
  • Environment note: Link creation and collaboration management on the sharing page usually require a network connection.

2. Set the sharing scope

Entry: Sharing Scope on the sharing page.

  1. On the sharing page, tap Sharing Scope.
  2. Choose specific people, or switch the setting to only yourself.
  3. Confirm that the current recipients and access scope match what you need.
  4. Return to the sharing page to continue.

Success Criteria

  • Interface result: The sharing scope is updated to the selected recipients or access level.
  • Next action available: You can continue to copy the link or manage joined collaborators.

Tips While Using

  • Common mistake: If you do not review the sharing scope before sending, the wrong audience may get access.
  • Environment note: It is recommended to complete sharing-scope settings while signed in to your account.

3. Manage collaborators and sharing permissions

Entry: People who joined the share and Sharing Settings on the sharing page.

  1. On the sharing page, tap People who joined the share to review current collaborators.
  2. Manage the joined collaborators as needed.
  3. Return to the sharing page and tap Sharing Settings.
  4. Set permissions for export, print, and save as.

Success Criteria

  • Interface result: The collaborator list and sharing settings are adjusted to match your current needs.
  • Next action available: You can continue sending the link or change permissions again later if needed.

  • Common mistake: Sending a link without checking sharing settings may give recipients permissions that do not fit your intent.

Entry: Share to, Copy Link, Export as .xlsx, Face-to-Face File Transfer, and More on the sharing page.

  1. On the sharing page, tap Share to and choose WeChat, QQ, Moments, or another supported app to send the link quickly.
  2. If you want to send it manually, tap Copy Link and paste it into the target app.
  3. If you need a local spreadsheet file, tap Export as .xlsx.
  4. If you need nearby transfer, tap Face-to-Face File Transfer.
  5. If you need another method, tap More and choose options such as email sharing or copy document.
  • Interface result: The link is copied, the sharing action starts, or a local .xlsx file is exported.
  • Next action available: Recipients can access the content through the link, or you can continue with another sending method.
  • Common mistake: Sending before confirming the target method may place the link in the wrong destination.
  • Environment note: Sharing to external apps requires the corresponding app to be installed and available on the device.
