How-to Guide
1. Schedule a Meeting
Entry: Left sidebar > Meeting > Schedule Meeting
- Open the collaboration client and click Meeting in the left sidebar.
- In the WPS Meeting page, click Schedule Meeting on the left.
- Enter the meeting title and set the start and end time.
- If the meeting needs to repeat, turn on Recurring Meeting and set the recurrence rule by day, week, or month.
- Click Save.
- After saving, the system generates an invitation link and creates the related calendar event.
Success Criteria
- Interface result: You can see the newly created scheduled meeting.
- What you can do next: You can share, edit, or delete the meeting.
- No unwanted effect: The meeting also appears as a related calendar schedule.
Tips While Using
- Common mistake: If the time information is incomplete, the meeting may not be saved as expected.
- Environment note: An internet connection is recommended so the invitation link and calendar sync can complete normally.
2. Edit a Scheduled Meeting
Entry: Meeting list
- In the meeting list, click an existing scheduled meeting to open the meeting details panel on the right.
- In the meeting details panel, click ... in the upper-right corner.
- Select Edit to open the meeting editing page.
- Update the meeting title, start and end time, recurring meeting rule, participants, meeting settings, meeting room, location, meeting documents, notes, visibility scope, or reminder time as needed.
- You can also switch dates in calendar view or drag the edge of the meeting block to adjust its duration.
- Click Save to apply the changes.
Success Criteria
- Interface result: The updated meeting details appear in the details panel or calendar.
- What you can do next: You can continue sharing the updated meeting information.
- No unwanted effect: The original meeting remains in place while its details are updated.
Tips While Using
- Common mistake: If you leave the page without clicking Save, the changes do not take effect.
- Environment note: An internet connection is recommended when syncing participants, reminders, and calendar updates.
3. Share a Scheduled Meeting
Entry: Meeting list
- Find the scheduled meeting in the meeting list.
- Click the Share button in the upper-right area of that meeting.
- Review the meeting title, meeting time, join code, and join link.
- Click Copy Meeting Info to copy the meeting details to the clipboard.
- Send the copied content to the participants.
Success Criteria
- Interface result: You can see the full meeting details and the sharing entry.
- What you can do next: After copying, you can paste the content into chat, email, or another notification channel.
- No unwanted effect: Sharing does not change the original meeting settings.
Tips While Using
- Common mistake: Copying the invitation before confirming that the meeting time and link are the latest version.
- Environment note: Staying online is recommended when copying and sending meeting details.
4. Delete a Scheduled Meeting
Entry: Meeting list
- In the meeting list, click the scheduled meeting to open the meeting details panel on the right.
- Click ... in the upper-right corner.
- Select Delete.
- In the confirmation prompt, click OK.
- After deletion, the scheduled meeting and its related calendar event are removed together.
Success Criteria
- Interface result: The meeting no longer appears in the meeting list.
- What you can do next: The related calendar event also disappears.
- No unwanted effect: Other meetings remain unchanged.
Tips While Using
- Common mistake: Deleting the meeting before confirming whether the record still needs to be kept.
