How-to Guide

1. Schedule a Meeting

Entry: Left sidebar MeetingSchedule Meeting

  1. Open the collaboration client and click Meeting in the left sidebar.
  2. On the WPS Meeting page, click Schedule Meeting on the left.
  3. Enter the meeting title, then set the start time and end time.
  4. If the meeting should repeat, turn on Recurring Meeting and choose a recurring pattern by day, week, or month.
  5. Click Save. WPS generates the meeting invite link and creates the related calendar entry.

Success Criteria

  • Interface result: The new meeting appears in the meeting list.
  • What you can do next: You can open, edit, or share the meeting.
  • No unwanted result: Saving the meeting also creates the related calendar schedule.

Tips While Using

  • Common mistake: If the start time or end time is incorrect, reminders and scheduling may be affected later.
  • Environment note: Keep the network connection available when saving the meeting and generating invite details.

2. Edit a Scheduled Meeting

Entry: Meeting list

  1. In the meeting list, click a scheduled meeting to open the meeting details panel on the right.
  2. In the meeting details panel, click ... in the upper-right corner.
  3. Select Edit to open the meeting editing page.
  4. Update the meeting title, start and end time, recurring rule, participants, meeting settings, room, location, meeting documents, notes, visibility, or reminder time as needed.
  5. Click Save and apply meeting settings.

Success Criteria

  • Interface result: The updated meeting details appear in the details panel.
  • What you can do next: You can continue sharing the meeting or return to the meeting list.
  • No unwanted result: The meeting record remains available and reflects the updated settings.

Tips While Using

  • Common mistake: If you leave the page without saving, the changes do not take effect.
  • Environment note: When participant, room, or reminder information needs to sync, keep the account signed in.

3. Share a Scheduled Meeting

Entry: Meeting list

  1. In the meeting list, find the scheduled meeting you want to share.
  2. Click Share in the upper-right area of that meeting.
  3. Review the meeting title, meeting time, join code, and join link.
  4. Click Copy meeting info to copy the full meeting details to the clipboard.
  5. Paste and send the copied details to participants.

Success Criteria

  • Interface result: The full meeting summary is visible.
  • What you can do next: After copying, you can paste the details into chat, email, or another notification channel.
  • No unwanted result: Sharing does not change the original meeting settings.

Tips While Using

  • Common mistake: Copying only part of the details may leave out the join code or link.
  • Environment note: If participants need the details right away, complete the sharing step with a stable network connection.

4. Delete a Scheduled Meeting

Entry: Meeting list

  1. In the meeting list, click a scheduled meeting to open the meeting details panel on the right.
  2. Click ... in the upper-right corner.
  3. Select Delete.
  4. In the confirmation window, click OK.
  5. After deletion, the meeting and its related calendar entry are removed together.

Success Criteria

  • Interface result: The meeting no longer appears in the meeting list.
  • What you can do next: You can continue managing other meetings.
  • No unwanted result: The related calendar entry is removed at the same time, so outdated scheduling information is cleared.

Tips While Using

  • Common mistake: If a meeting is deleted by mistake, it needs to be scheduled again and shared again.
  • Environment note: Keep the network connection available when the deletion also needs to sync to the calendar.
