How-to Guide

1. Manage Participants

Entry path: Meeting window → bottom toolbar → Meeting Controls

  1. Join the meeting and click Meeting Controls in the bottom toolbar.
  2. In the right-side panel, review and adjust Join Permissions and Join Approval.
  3. Turn options on or off as needed, such as Lock Meeting, Start Sharing, Take Over Collaborative Document Presentation, Join Muted, Require Video on Join, and Edit In-Meeting Nickname.
  4. If needed, continue with participant actions such as Assign Presenter, Transfer Host, or Remove Participant from Meeting.

Success Criteria

  • Interface result: The Meeting Controls panel opens on the right and shows available in-meeting control options.
  • What you can do next: The host can continue adjusting permissions, assigning a presenter, or removing participants.

Tips While Using

  • Common mistake: If you are not in the meeting as the host, you may not see the full set of Meeting Controls options.
  • Environment note: These settings are used during an active meeting and work more smoothly with a stable internet connection.

2. Lock a Meeting

Entry path: Meeting window → Meeting Controls → Lock Meeting

  1. In the meeting, click Meeting Controls.
  2. Find the Lock Meeting switch.
  3. Turn it on to stop new participants from joining the current meeting.
  4. Turn it off later if you want to allow new participants to enter again.

Success Criteria

  • Interface result: The Lock Meeting switch is turned on.
  • What you can do next: Current participants can stay in the meeting, and the host can continue using other meeting controls.

Tips While Using

  • Common mistake: Locking a meeting affects future join attempts only and does not remove people who are already in the meeting.
  • Environment note: It is usually more practical to enable this after the expected participants have joined.

3. Mute All Participants

Entry path: Meeting window → Control → Mute All

  1. In the meeting window, click Control.
  2. Click Mute All to turn off audio for everyone with one action.
  3. Set the Allow participants to unmute themselves option based on your meeting needs.
  4. Watch the meeting status and decide whether to keep the mute state or allow participants to restore their microphones.

Success Criteria

  • Interface result: Participant audio is turned off and the related control state is visible.
  • What you can do next: The host can continue deciding whether participants may unmute themselves.

Tips While Using

  • Common mistake: If you mute everyone without allowing self-unmute, participants will need the host to manage the speaking flow.
  • Environment note: This is especially useful for training sessions, presentations, or meetings with background noise.
