1. Start real-time notes during a meeting
Entry point: Meeting interface → AI Summary
- Join or create a meeting.
- Click the AI Summary icon on the bottom toolbar.
- Wait for the system to start extracting the meeting topic, key conclusions, and speaker distinction in real time.
- When you want to stop recording, click AI Summary again.
- After the meeting ends, click Meeting Records to view the AI-generated notes and continue editing or exporting them.
Success Criteria
- Interface result: You can see that AI Summary is turned on during the meeting.
- Next action available: After the meeting ends, you can open the related notes in Meeting Records.
Tips While Using
- Meeting notes are generated only after AI Summary is turned on during the meeting.
- It is recommended to turn it on as early as possible so more of the meeting can be captured.
2. Export meeting notes
Entry point: Left sidebar Meeting → Meeting Records
- Open the collaboration client.
- Click Meeting in the left sidebar.
- On the WPS Meetings page, click Meeting Records on the left.
- Find and open the meeting record you want to export.
- Choose Edit, Copy, or Export in the upper-right corner.
- The exported notes are generated as a new smart document for continued sharing and use.
Success Criteria
- Interface result: You can open the target meeting record and see the AI-generated notes.
- Next action available: Edit, Copy, or Export is available in the upper-right corner.
Tips While Using
- Before exporting, review the notes to make sure the content is complete.
- The exported document can be used for further organization and sharing with people who did not attend.
3. Import an existing meeting record for transcription
Entry point: Left sidebar Meeting → Meeting Records → Import
- Open the collaboration client and go to Meeting in the left sidebar.
- On the WPS Meetings page, click Meeting Records on the left.
- Click Import in the upper-right corner.
- Select an existing meeting file from Cloud Docs or Local Docs.
- Wait for the system to finish transcription.
- Open the related item in Meeting Records to view the generated notes.
Success Criteria
- Interface result: After the import is complete, a new transcription result appears in Meeting Records.
- Next action available: You can continue viewing, editing, or exporting the notes afterward.
Tips While Using
- Transcription time depends on meeting length and the amount of useful spoken content.
- Before importing, make sure the file content is clear so the transcription can be processed more smoothly.
