1. Start live notes during a meeting
Entry: Meeting window → AI Notes
- Join or create a meeting.
- Click the AI Notes icon on the bottom toolbar.
- After it starts, WPS automatically extracts the meeting topic, key conclusions, and speaker separation.
- Click AI Notes again when you want to stop live notes.
- After the meeting ends, open Meeting Records to review the generated summary and continue editing or exporting it.
Success Criteria
- Interface result: the meeting window shows that AI notes are active.
- Next action available: after the meeting, you can open Meeting Records and review the generated content.
- No unwanted effect: stopping AI notes does not interrupt the meeting itself.
Tips While Using
- Common mistake: if AI Notes was never turned on during the meeting, the meeting will not generate the same live summary flow afterward.
- Environment note: a stable network connection helps the summary generate and load more smoothly.
2. Export a meeting summary
Entry: Left sidebar Meetings → Meeting Records
- Open the collaboration client and click Meetings in the left sidebar.
- On the WPS meeting page, click Meeting Records on the left.
- Open the meeting record that you want to export.
- Review the AI-generated summary in the record page.
- Use Edit, Copy, or Export in the upper-right area to process the summary.
- After export, a new smart document is created for continued sharing.
Success Criteria
- Interface result: the target meeting record opens and the AI summary is visible.
- Next action available: you can edit, copy, or export the summary.
- No unwanted effect: the original meeting record remains in the Meeting Records list.

- Common mistake: after entering Meetings, you still need to open Meeting Records to find past summaries.

3. Import an existing meeting file for transcription
Entry: Left sidebar Meetings → Meeting Records → Import
- Open the collaboration client and click Meetings in the left sidebar.
- On the WPS meeting page, click Meeting Records on the left.
- Click Import in the upper-right corner.
- Choose an existing meeting file from Cloud Docs or Local Docs.
- Wait for transcription to finish, then open the generated record in Meeting Records.
Success Criteria
- Interface result: after submission, the imported task appears in Meeting Records.
- Next action available: once transcription is complete, you can open and review the summary.
- No unwanted effect: the original imported file is not overwritten by the transcription process.
Tips While Using
- Common mistake: the summary may not appear immediately because transcription still needs time to finish.
- Environment note: make sure the selected local or cloud file is accessible before importing it.
