How-to Guide

1. Start live notes during a meeting

Entry: Meeting window → AI Notes

  1. Join or create a meeting.
  2. Click the AI Notes icon on the bottom toolbar.
  3. After it starts, WPS automatically extracts the meeting topic, key conclusions, and speaker separation.
  4. Click AI Notes again when you want to stop live notes.
  5. After the meeting ends, open Meeting Records to review the generated summary and continue editing or exporting it.

Success Criteria

  • Interface result: the meeting window shows that AI notes are active.
  • Next action available: after the meeting, you can open Meeting Records and review the generated content.
  • No unwanted effect: stopping AI notes does not interrupt the meeting itself.

Tips While Using

  • Common mistake: if AI Notes was never turned on during the meeting, the meeting will not generate the same live summary flow afterward.
  • Environment note: a stable network connection helps the summary generate and load more smoothly.

2. Export a meeting summary

Entry: Left sidebar MeetingsMeeting Records

  1. Open the collaboration client and click Meetings in the left sidebar.
  2. On the WPS meeting page, click Meeting Records on the left.
  3. Open the meeting record that you want to export.
  4. Review the AI-generated summary in the record page.
  5. Use Edit, Copy, or Export in the upper-right area to process the summary.
  6. After export, a new smart document is created for continued sharing.

Success Criteria

  • Interface result: the target meeting record opens and the AI summary is visible.
  • Next action available: you can edit, copy, or export the summary.
  • No unwanted effect: the original meeting record remains in the Meeting Records list.

Tips While Using

  • Common mistake: after entering Meetings, you still need to open Meeting Records to find past summaries.
  • Environment note: review the summary before exporting it to others.

3. Import an existing meeting file for transcription

Entry: Left sidebar MeetingsMeeting RecordsImport

  1. Open the collaboration client and click Meetings in the left sidebar.
  2. On the WPS meeting page, click Meeting Records on the left.
  3. Click Import in the upper-right corner.

  5. Wait for transcription to finish, then open the generated record in Meeting Records.

Success Criteria

  • Interface result: after submission, the imported task appears in Meeting Records.
  • Next action available: once transcription is complete, you can open and review the summary.
  • No unwanted effect: the original imported file is not overwritten by the transcription process.

Tips While Using

  • Common mistake: the summary may not appear immediately because transcription still needs time to finish.
  • Environment note: make sure the selected local or cloud file is accessible before importing it.
