1. Open calendar permission settings

Entry path: WPS Collaboration → Calendar → More next to the target calendar → Manage Calendar → Permission Settings

  1. Open the WPS Collaboration client.
  2. Click Calendar in the left navigation pane on the home page.
  3. Find the calendar that you want to manage.
  4. Click the More button next to the calendar name.
  5. Select Manage Calendar.
  6. Click Permission Settings to open the permission management page.

Success Criteria

  • Interface result: The permission settings page for the selected calendar opens.
  • Next action available: You can continue to adjust organization visibility, public visibility, or shared member permissions.

Tips While Using

  • Common mistake: If you open the wrong calendar, you may update the wrong sharing rules, so confirm the calendar name first.
  • Environment note: If Manage Calendar is not available, your account may not have permission to manage that calendar.

2. Set organization-wide calendar visibility

Entry path: Manage Calendar → Permission Settings → Organization

  1. In Permission Settings, find the Organization section.
  2. Select the visibility level you need.
  3. Choose Private if the calendar should not be visible within the organization.
  4. Choose View free/busy only if members should see availability only.
  5. If members need more event information, choose the level that allows event details to be viewed.
  6. Keep the selected setting and continue to the next permission area.

Success Criteria

  • Interface result: The Organization permission level is switched to the target option.
  • Next action available: You can continue with the Anyone permission area or shared member management.

Tips While Using

  • Common mistake: A visibility level that is too open may expose event details to more people than intended.
  • Environment note: Organization-level visibility depends on the current collaboration organization scope.

3. Set access permissions for anyone

Entry path: Manage Calendar → Permission Settings → Anyone

  1. In Permission Settings, find the Anyone section.
  2. Select the access level you need.
  3. Choose Private if you do not want outside access.
  4. Choose View free/busy only if you only want to show availability.
  5. If broader event information should be visible, choose the appropriate detail level.
  6. Review the setting and continue to save.

Success Criteria

  • Interface result: The Anyone permission level is updated.

  • Common mistake: Before giving Anyone a broader access level, check whether titles, notes, or other details could become visible.

4. Manage shared member permissions

Entry path: Manage Calendar → Shared Members

  1. Open the Manage Calendar page.
  2. Open the Shared Members list to review current members.
  3. To adjust access, change the permission level for the target member.
  4. To remove access, remove that member from calendar sharing.
  5. To add a collaborator, add a new shared member.
  6. Click Save to apply the changes.

Success Criteria

  • Interface result: The shared member list is updated and the added, changed, or removed member status is shown correctly.
  • Next action available: Members can access the calendar according to the updated permission scope.

Tips While Using

  • Common mistake: Removing a member from sharing immediately removes their access to the calendar, so confirm before saving.
