1. Open Email Migration

Entry path: Enterprise Admin Console → WPS Collaboration → Mail Management → Email Migration

  1. Sign in to the enterprise admin console.
  2. Open WPS Collaboration.
  3. Click Email Migration under Mail Management.
  4. Review the existing migration task list on the page.

Success Criteria

  • Interface result: The Email Migration list and the button for creating a new migration task are visible.
  • Next action available: You can continue to create a new migration task.

  • Enterprise administrator permissions are required to access this page.
  • It is recommended to continue setup on a stable network connection.

2. Create a Migration Task and Choose Domain and Scope

Entry path: Email Migration page → New Migration

  1. On the Email Migration page, click New Migration.
  2. Enter the migration setup flow.
  3. Choose the target migration domain.
  4. Set the migration scope, such as all existing mailboxes in the organization, selected existing mailboxes, or mailboxes assigned later.

Success Criteria

  • Interface result: The setup flow is open and the target domain and scope have been selected.
  • Next action available: You can continue to the source mailbox configuration step.

Tips While Using

  • The selected scope determines which mailboxes are included in the migration task.

3. Configure Source Mailbox Settings and Verify Sign-in

Entry path: Migration setup flow → Configure source mailbox settings

  1. In the migration setup flow, open the source mailbox configuration step.
  2. Select the original mail service provider.
  3. Configure the incoming server information for the original mailbox.
  4. Complete sign-in verification and confirm that the connection information works.

Success Criteria

  • Interface result: Source mailbox settings are completed and sign-in verification succeeds.
  • Next action available: You can continue to the migration start step.

Tips While Using

  • Prepare the source provider, server address, and verification details in advance.
  • Incorrect settings may prevent the migration task from starting.

4. Start the Migration Task

Entry path: Migration setup flow → Start migration

  1. Review the target domain, scope, and source mailbox settings.
  2. Confirm the configuration and start the migration task.
  3. Return to the migration list to review task information and later status updates.

Success Criteria

  • Interface result: The system creates and starts the migration task.
  • Next action available: You can follow the migration task from the list.
  • No side effect: Mail data in the original mailbox remains unchanged.

Tips While Using

  • Migration time depends on the number and size of messages in the source mailbox.
  • New mail can still be received and sent during the migration process.
