1. Create a Shared Folder

Entry point: Personal Space → New → Shared Folder

  1. Open WPS and go to the Personal Space page.
  2. Click New and select Shared Folder.
  3. Enter a folder name.
  4. Click Create Now to finish.

Success Criteria

  • UI state: The shared folder appears in the cloud document list.
  • Next actions: You can open the sharing panel to invite members or continue to settings.

2. Configure Shared Folder Settings

Entry point: The Share button on the right side of the shared folder

  1. Open WPS and go to the Personal Space page.
  2. Find an existing shared folder and click the Share button on the right to open the settings panel.
  3. Click Settings.
  4. Set Allow members to invite others, Require admin approval to join, View only after joining, Invitation link expiration, or Cancel sharing as needed.
  5. Click OK to apply the settings.

  • UI state: The saved settings are visible when you open the panel again.
  • Next actions: You can continue by copying an invitation link or inviting members.

3. Invite Members

Entry point: The Share button on the right side of the shared folder

  1. Open WPS and go to the Personal Space page.
  2. Find an existing shared folder and click the Share button on the right to open the sharing panel.
  3. Choose an invitation method and select people from contacts if needed.
  4. Or copy the invitation link and send it to the people who need access.

Success Criteria

  • UI state: The invitation is sent, or the invitation link is copied successfully.
  • Next actions: Members can join the shared folder from the invitation.

Tips While Using

  • Check the link expiration and approval settings before copying the link.
  • If you need tighter access control, invite specific members instead of sharing a broad link.

4. Manage Member Permissions

Entry point: Right-click menu of the shared folder → Member Permission Management

  1. Open WPS and go to the Personal Space page.
  2. Find an existing shared folder and right-click it to open the menu.
  3. Select Member Permission Management.
  4. Click the member you want to manage.
  5. Set the member as Admin, Member - Can Edit, Member - View Only, or remove the member.

Success Criteria

  • UI state: The member permission status is updated successfully.
  • Next actions: Members can access shared folder content based on the new permission level.

  • The folder creator usually has higher management permissions.
