How-to Guide

1. Add collaborators from contacts

Entry: Share → Add Collaborators → Choose from Contacts

  1. Open the document and click Share at the top right.
  2. Click Add Collaborators.
  3. Select Choose from Contacts.
  4. Search or browse your contacts and select the people you want to invite.
  5. Set permissions for each person as Can Edit or View Only.
  6. Click OK to send the invitation.

Success Criteria

  • Interface result: the selected people appear in the collaborator list.
  • What you can do next: you can continue adjusting permissions or add more collaborators.
  • No side effect: sending the invitation does not change the document content automatically.

Tips While Using

  • Common mistake: sending the invitation before checking the permission level may give someone broader access than intended.
  • Environment note: if you are not signed in or the document is not in collaboration mode, the sharing flow may not complete normally.

Entry: Share → Copy Link

  1. Open the document and click Share at the top right.
  2. Set the link permission first.
  3. Click Copy Link.
  4. Send the link to teammates or other collaborators.
  5. Recipients can open the document according to the assigned permission.
  • Interface result: the link is copied successfully.
  • What you can do next: you can paste the link into email, chat, or another notification channel.
  • No side effect: copying the link does not change the existing document content.
  • Common mistake: if you copy the link before setting permissions, you may need to adjust the permission and send the link again.
  • Environment note: recipients need internet access to open the shared link, and their access depends on the current permission setting.
