1. Add Members

Entry point: Admin Console → Contacts → Organization Structure → Add Members

  1. Open the WPS client and enter the Admin Console from the lower-left area of the home page.
  2. Click Contacts in the left navigation pane.
  3. Click Organization Structure in the drop-down list.
  4. Click the Add Members button in the upper-right area of the page.
  5. Fill in member details in the side panel, including the name, department, and at least one of email or phone number.
  6. If you need to add more details, click Fill in More Information to complete the profile.
  7. Click Save to finish, or click Save and Continue Adding to keep entering the next member.

Success Criteria

  • The new member information is saved to the company directory.
  • The member entry can be found in the organization structure.

Tips While Using

  • Name and department are required fields.
  • At least one of phone number or email must be filled in.
  • Multiple departments can be selected, and the first one becomes the primary department.

2. Invite Members to Join

Entry point: Admin Console → Contacts → Organization Structure → Invite to Join

  1. Open the Organization Structure page.
  2. Click the Invite to Join button.
  3. Check the generated invite link and invite QR code.
  4. If needed, click Change Department at the top of the page to switch the invited department.
  5. Send the invite link or QR code to the people who need to join.
  6. After opening the link, the member selects an identity and follows the prompts to complete the process.
  7. If join approval is enabled, wait for an admin to approve the request before the member officially joins.

Success Criteria

  • A shareable invite link or QR code is generated on the page.
  • After the member submits a request, the process can move to approval or joining.

Tips While Using

  • The invite link is long-term by default, and the old link becomes invalid after an admin resets it.
  • If approval is enabled, the member still needs admin approval after submitting the request.

3. Invite Settings

Entry point: Upper-right area of the Invite to Join page → Invite Settings

  1. On the Invite to Join page, click Invite Settings in the upper-right area.
  2. Set the information required for join requests. You can choose Real Name, Email or Real Name, Email, Remarks.
  3. Turn Allow members to invite colleagues to join the company on or off as needed.
  4. Turn Allow external members to request joining the company when accessing company documents on or off as needed.
  5. Turn Allow external members to request joining the company when accessing company teams on or off as needed.
  6. Click Preview to check the join request page.

Success Criteria

  • The invite settings are saved according to company requirements.
  • The join request page reflects the current settings.

Tips While Using

  • After a related toggle is turned off, external visitors can no longer start a join request from that entry point.
  • After required application fields are changed, new requests follow the updated rules.
