When using Other Access Users, users usually ask about 3 areas: permission differences, collaborator visibility, and collaboration prerequisites; this FAQ includes 3 common questions.
FAQ
What is the difference between link permission and an individually assigned role?
- Link permission is the default access level for collaborators who join through a shared link.
- An individually assigned role is a separate permission assigned to a specific collaborator.
- If a collaborator already has an individually assigned role, changing the link permission does not replace that role.
How can I see collaborators who joined through the link?
- Click Advanced Permissions in the upper-right corner.
- Open Link Permission under Other Access Users.
- Check the collaborator list under the current role area. If you see a message that no collaborators are listed for the current role, no one has joined through the link yet.
Can I set link permission before collaboration is enabled?
- No. The setting does not take effect until collaboration is enabled.
- Enable collaboration from the sharing entry first.
- After the document is shown as collaborative, review the Link Permission setting again.
