How-to Guide

1. Add Grouping Conditions

Entry point: Top toolbar in the table view → Group → + Add Condition

  1. Open your database sheet view and click the Group button on the top toolbar.
  2. In the grouping panel, click + Add Condition.
  3. Select the field you want to use for grouping from the drop-down list.
  4. Check whether the records are now grouped automatically by that field.

Success Criteria

  • UI state: A new grouping condition appears in the panel, and records are grouped by the selected field.
  • Next actions: You can add another grouping condition or adjust sorting.

Tips While Using

  • Common mistakes: If you are not in the correct table view, the Group button may not appear.
  • Environment limits: You need edit permission for the current view.

2. Set Group Sorting

Entry point: Top toolbar → Group → sorting option beside each grouping condition

  1. Click the Group button on the top toolbar to open the grouping panel.
  2. Review the grouping conditions that have already been added.
  3. Choose a sorting method beside each grouping condition.
  4. If needed, use Collapse All or Expand All in the panel to change the display state quickly.

Success Criteria

  • UI state: The group order or display order changes, and the collapse state updates.
  • Next actions: You can continue adjusting other grouping conditions or return to the table view to review the result.

Tips While Using

  • Common mistakes: Adding a grouping condition without adjusting sorting may leave the display order different from what you expect.
  • Environment limits: Available sorting options can vary by field type.

3. Lock Grouped View Settings

Entry point: Top toolbar → Group → Lock Now

  1. Click the Group button on the top toolbar.
  2. Confirm that the current filter, sort, and grouping settings are already set the way you want.
  3. Click Lock Now in the lower-right area of the panel.
  4. Return to the view and confirm that the current settings remain fixed.

Success Criteria

  • UI state: The current view's filter, sort, and grouping settings are locked.
  • Next actions: Other collaborators can review data in the locked view.
  • No side effects: Locking affects the current view settings only and does not change the original data.

Tips While Using

  • Common mistakes: Locking the view before confirming the final sort and filter result may require another adjustment later.
  • Environment limits: The lock applies to the current view settings, not to the data itself.
