How-to Guide
1. Add a Custom Role
Entry: Advanced Permissions at the top right → left navigation → + Add Custom Role
- Click Advanced Permissions at the top right.
- In the Advanced Permissions dialog, click + Add Custom Role in the left navigation.
- After the role is created, it appears under the Custom Roles section in the left panel.
- Select the role name to open its configuration page.
Success Criteria
- The new role appears in the left navigation.
- You can continue to switch between permission tabs for that role.
Tips While Using
- If the Advanced Permissions panel is not open, the role creation entry will not appear.
- Make sure your account can manage permissions for the current database.
2. Configure Role Permissions
Entry: Advanced Permissions dialog → Custom Role → permission tabs
- Select the target custom role.
- Switch to the tab you want to configure on the right side.
- Adjust settings for Collaborators, Data Permissions, Dashboard Permissions, Automation Permissions, and Other Function Permissions as needed.
- Click Save at the bottom right.
Success Criteria
- The role keeps the updated permission settings after saving.
- You can return to other tabs and continue adjusting the role.
Tips While Using
- If you leave without saving, the current changes are not kept as the final configuration.
- Permission changes affect collaborators assigned to that role.
3. Add Collaborators to a Custom Role
Entry: Advanced Permissions dialog → Custom Role → + Add Collaborator
- Select the target custom role and open the Collaborators tab.
- Click + Add Collaborator at the top right or inside the page.
- Search for and select the collaborators you want to add.
- Confirm that the selected members now belong to that role.
Success Criteria
- The selected collaborators appear in the role's collaborator list.
- Those members can use the database under the permissions of that role.
Tips While Using
- Adding members under the wrong role can apply the wrong permission set.
- It is helpful to finish the role permission setup before assigning collaborators.
