1. Group Rows

Entry: Data → Group → Group selected rows

  1. Select the consecutive rows that you want to place in one group, such as rows 2 through 5.
  2. Click Data on the top menu bar.
  3. Click Group and choose the row grouping option.
  4. Check the left side of the worksheet for the new outline control.
  5. Click - to collapse the group and + to expand it.

Success Criteria

  • Interface result: An outline control appears on the left side of the worksheet.
  • Next action available: You can continue collapsing, expanding, or creating more groups.

Tips While Using

  • Common mistake: If the selected rows are not consecutive, the grouping result may not match your expectation.

2. Group Columns

Entry: Data → Group → Group selected columns

  1. Select the consecutive columns that you want to group.
  2. Click Data on the top menu bar.
  3. Click Group and choose the column grouping option.
  4. Check the top of the worksheet for the column outline control.
  5. Collapse or expand the grouped columns as needed.

Success Criteria

  • Interface result: A column outline control appears above the worksheet.
  • Next action available: You can review the worksheet before and after the grouped columns are collapsed.

3. Remove a Group

Entry: Data → Group → Ungroup / Remove group

  1. Select the grouped rows or columns.
  2. Click Group on the Data tab.
  3. Choose the option to remove the current group.
  4. If needed, use the full ungroup option to clear more grouping levels.

Success Criteria

  • Interface result: The related outline control disappears or the outline level is reduced.
  • Next action available: The worksheet returns to a normal layout and can be grouped again.

4. Use Outline Controls

Entry: The + and - outline controls beside or above the worksheet

  1. Create a row group or column group in the worksheet first.
  2. Find the outline controls at the edge of the worksheet.
  3. Click - to collapse the current grouped section.
  4. Click + to expand the current grouped section.
  5. If there are nested groups, expand or collapse them level by level.

Success Criteria

  • Interface result: The grouped area switches between collapsed and expanded states.
  • Next action available: You can continue reviewing summary sections or open deeper levels of detail.

Tips While Using

  • Common mistake: In nested groups, it is easy to click the control for a nearby level by mistake.
