1. Use @ mentions

Entry path: Double-click a cell and type @

  1. Double-click the cell where you want to notify a collaborator.
  2. Type @ in the cell to open the add list.
  3. Select the person you want from Contacts.
  4. If needed, choose related content from Cloud Docs and insert it into the cell.
  5. Confirm the content to send the mention notification.

Success Criteria

  • A contact list or related list appears after you type @.
  • The selected mention appears in the cell.
  • The collaborator can receive the related notification.

Tips While Using

  • Make sure the collaborator already has permission to access the file.
  • Stay signed in and connected to the internet when using notification-related features.

2. Insert a comment from the right-click menu

Entry path: Select a cell → right-click menu → Insert Comment

  1. Select the target cell where you want to add a comment.
  2. Right-click the cell and choose Insert Comment.
  3. Enter your comment in the comment box.
  4. Click outside the input box to save it.
  5. After saving, a comment marker appears in the upper-right corner of the cell.

Success Criteria

  • A comment input box appears for the selected cell.
  • A comment marker appears in the upper-right corner after saving.
  • You can hover over the related area to view the comment.

3. Insert a comment from the menu bar

Entry path: Insert / Collaboration → Comment

  1. Select the target cell.
  2. Click Insert or Collaboration on the top menu bar.
  3. Choose Comment.
  4. Enter the comment content in the input box.
  5. Click a blank area to finish.

Success Criteria

  • The comment input box appears after you run the menu command.
  • The target cell shows a comment marker after the comment is saved.

4. View and reply to comments

Entry path: A cell with a comment marker or the comment icon

  1. Click the cell with a comment marker or its comment icon.
  2. Review the existing comment and reply history.
  3. Type your reply in the input box.
  4. Press Enter to send the reply.

Success Criteria

  • You can see the comment thread for the current cell.
  • The new reply appears in the thread immediately.

Tips While Using

  • Confirm that you selected the correct cell before replying.

5. Delete comments

Entry path: Select a cell with comments → ... in the comment panel

  1. Select the cell that contains comments.
  2. Open the comment interface and click the ... icon in the upper-right area.
  3. Choose Delete Comment to remove the current comment.
  4. Choose Delete Comments on This Cell to remove all comments on that cell.

Success Criteria

  • The deleted comment no longer appears.
  • If all comments are deleted, the cell marker disappears or updates.

Tips While Using

  • Confirm whether you need to keep the discussion record before deleting comments.

6. Resolve comments

Entry path: Resolve and hide comment in the comment panel

  1. Click the cell that contains a comment.
  2. In the comment panel, click Resolve and Hide Comment.
  3. The comment is marked as handled.
  4. If needed, switch the comment view to review all or unresolved comments.

Success Criteria

  • The comment status changes to resolved.
  • The resolved comment is hidden from the active view or moved into history.

7. Change the comment marker color

Entry path: Select a cell with comments → ... → Change Marker Color

  1. Select the cell that contains comments.
  2. Click the ... icon in the upper-right area of the comment interface.
  3. Find Change Marker Color.
  4. Click the color you want to apply.

Success Criteria

  • The comment marker color in the upper-right corner of the cell changes.
  • The new color helps distinguish comment status or priority.

8. View all comments

Entry path: Insert / Collaboration → Comment drop-down menu → All Comments

  1. Click Comment under Insert or Collaboration.
  2. In the drop-down menu, click All Comments.
  3. Open the right-side comments pane to review resolved and unresolved comments.
  4. Filter comments as needed and click a comment item.
  5. The related cell is located and highlighted.

Success Criteria

  • The comments pane opens on the right side.
  • You can review, filter, and locate comments in one place.

Tips While Using

  • If there are many comments, filter by status first and then process them one by one.
