How-to Guide

1. Add a smart spreadsheet shortcut

Entry point: Cloud document list → Right-click the file → Add Shortcut To

  1. In Recent Files or the cloud document list on the workspace page, find the smart spreadsheet you want to add.
  2. Right-click the file and select Add Shortcut To.
  3. Choose the folder where you want to place the shortcut, such as My Cloud Documents or Team Documents.
  4. Finish the action and check that the shortcut appears in the target folder.
  5. Click the shortcut to open the original document directly.

Success Criteria

  • Interface result: A new shortcut entry appears in the target folder.
  • What you can do next: You can open the linked smart spreadsheet from the shortcut.
  • No side effect: The original file location and content stay unchanged.

Tips While Using

  • Common mistake: Choosing the wrong target folder can make the shortcut harder to find later.
  • Environment note: You need access to WPS Cloud or the team document space.

2. Add a shortcut from inside a document

Entry point: Smart spreadsheet title bar drop-down menu → Add Shortcut

  1. Open the smart spreadsheet you want to organize.
  2. In the top title bar, click the drop-down button next to the document name.
  3. Select Add Shortcut.
  4. Choose the destination folder and confirm.

Success Criteria

  • Interface result: A shortcut for the current document appears in the selected folder.
  • What you can do next: You can keep editing the current file and reopen it later from the shortcut.
  • No side effect: The current document stays open.

Tips While Using

  • Common mistake: If you do not confirm the destination folder first, the shortcut may be saved in a less useful location.
  • Environment note: The document must already be open and connected to an available cloud location.

3. Remove a shortcut

Entry point: Right-click the shortcut → Remove Shortcut

  1. In WPS Cloud, find the smart spreadsheet shortcut you already added.
  2. Right-click the shortcut you want to remove.
  3. Select Remove Shortcut or the equivalent delete-shortcut option shown in the menu.
  4. Confirm that the shortcut entry disappears from the current folder.

Success Criteria

  • Interface result: The shortcut no longer appears in the current folder.
  • What you can do next: The original file can still be opened from its original location or another entry point.
  • No side effect: The original file is not deleted.

Tips While Using

  • Common mistake: Removing a shortcut is not the same as deleting the original file.
  • Environment note: If cloud sync is delayed, the interface update may appear a little later.
