How-to Guide
1. Ribbon Ascending
Entry: Data tab → Sort drop-down menu → Ascending
- Select any cell in the data you want to sort in ascending order.
- Click the Data tab.
- Open the Sort drop-down menu.
- Click Ascending.
Success Criteria
- The current data range is sorted from low to high or A to Z based on the selected column.
- You can continue editing, filtering, or saving the worksheet.
Tips While Using
- If only one column is selected by mistake, related row data may no longer align as expected.
- Check that the header row and data range are complete before sorting.
2. Ribbon Descending
Entry: Data tab → Sort drop-down menu → Descending
- Select any cell in the data you want to sort in descending order.
- Click the Data tab.
- Open the Sort drop-down menu.
- Click Descending.
Success Criteria
- The current data range is sorted from high to low or Z to A based on the selected column.
- You can continue reviewing the result or save the file.
Tips While Using
- If the wrong column is active, the result may not match your expectation.
3. Ribbon Custom Sort
Entry: Data tab → Sort drop-down menu → Custom Sort
- Select any cell in the range you want to sort.
- Click the Data tab.
- Open the Sort drop-down menu.
- Click Custom Sort.
- In the dialog box, set the primary key, sort basis, and order.
- Click Add Condition to add another level.
- Click OK.
Success Criteria
- The data is sorted according to one or more conditions.
- You can reopen the dialog box and adjust the rules again if needed.
Tips While Using
- The order of the primary key and secondary key affects the final result.
- Before multi-level sorting, make sure each column uses a consistent data type.
4. Right-Click Ascending
Entry: Right-click a cell → Sort → Ascending
- Select any cell in the data you want to sort in ascending order.
- Right-click the selected cell.
- Open Sort.
- Click Ascending.
Success Criteria
- The data is sorted in ascending order based on the current column.
- You can continue reviewing or editing the worksheet.
Tips While Using
- If you open the menu from the wrong cell, the sort may be applied to the wrong column.
5. Right-Click Descending
