How-to Guide
1. Use Format Painter Once
Entry: Home tab → Format Painter
- Select the cell that already has the formatting you want, or select the formatted text inside a cell.
- Click Format Painter on the Home tab.
- When the pointer changes to a brush, click or drag across the target area where you want to apply the formatting.
- After the formatting is applied, Format Painter exits automatically.
Success Criteria
- Interface result: the target area shows the same font, fill, border, or number format as the source area.
- What you can do next: you can continue editing, entering data, or saving the spreadsheet.
Tips While Using
- Common mistake: if you do not select the source cell or source text first, there is no formatting to copy.
- Environment note: this feature copies formatting only and does not copy content or formulas.
2. Use Format Painter Repeatedly
Entry: Home tab → Format Painter
- Select the cell or text that contains the formatting you want to reuse.
- Double-click Format Painter on the Home tab.
- Click or drag across multiple non-adjacent target areas one by one to apply the same formatting repeatedly.
- When you finish, press Esc or click Format Painter again to exit.
Success Criteria
- Interface result: multiple target areas receive the same formatting.
- What you can do next: after exiting Format Painter, normal selection and editing return.
Tips While Using
- Common mistake: a single click applies the formatting only once; use a double-click when you need repeated application.
- Environment note: confirm the source formatting before applying it to several ranges in sequence.
3. Use Format Painter from the Right-Click Toolbar
Entry: Right-click menu → Floating toolbar → Format Painter
- Select the cell or text that contains the formatting you want to copy.
- Right-click to open the menu and floating toolbar.
- Click the Format Painter icon on the floating toolbar.
- Click or drag across the target area to apply the formatting.
Success Criteria
- Interface result: the target area matches the source formatting.
- What you can do next: you can continue editing the spreadsheet from the right-click menu or standard interface.
Tips While Using
- Common mistake: if you right-click outside the selected source area, you may need to confirm the selection again before applying the format.
- Environment note: this entry is useful for mouse-based workflows and provides the same formatting result as the ribbon entry.
