How-to Guide
1. View version history
Entry path: Collaboration → History Records → History Versions
- Open the collaborative spreadsheet you want to check.
- Click the Collaboration tab at the top.
- Click History Records on the toolbar.
- Select History Versions from the drop-down menu.
- Review the version list in the right-side panel.
- Check the version time, editor, and version notes for each record.
Success Criteria
- Interface result: The version history list appears on the right side.
- Next action available: You can choose a version to preview, name, restore, or manage.
Tips While Using
- Open a collaborative document first.
- If you do not have editing permission, the history panel may not be available.
2. Open version history from the File menu
Entry path: File (☰) → History Records → History Versions
- Open a smart document or collaborative document.
- Click the File tab in the upper-left corner.
- Click History Records and then History Versions.
- Open the history versions panel.
Success Criteria
- Interface result: The history versions panel opens.
- Next action available: You can browse the version list and continue with other actions.
Tips While Using
- This opens the same type of history panel as the Collaboration entry.
3. Preview an earlier version
Entry path: History Versions panel → More → Preview
- Open the history versions panel.
- Click More on the target version.
- Select Preview.
- Review the content of that version before deciding what to do next.
Success Criteria
- Interface result: The selected historical version can be viewed.
- Next action available: You can decide whether to restore it, save it as a new file, or return to the current version.
Tips While Using
- Preview the version before restoring it when possible.
4. Name a version
Entry path: History Versions panel → More → Name
- Open the history versions panel.
- Click More on the version you want to mark.
- Select Name.
- Enter a clear version name and confirm it.
Success Criteria
- Interface result: The selected version shows the new name.
- Next action available: Important milestones are easier to identify later.
Tips While Using
- Use project stages, dates, or milestones in the name for easier team recognition.
5. Restore this version
Entry path: History Versions panel → More → Restore This Version
- Open the history versions panel.
- Find the version you want to roll back to.
- Click More for that version.
- Select Restore This Version.
- Follow the on-screen prompt to complete the restore.
Success Criteria
- Interface result: The current document returns to the selected historical version.
- Next action available: You can continue editing or review other versions again.
Tips While Using
- Restoring replaces the current content, so back up important edits first when needed.
6. Save as or delete a version
Entry path: History Versions panel → More → Save As / Delete Version
- Open the history versions panel.
- Click More on the target version.
- To keep a copy, select Save As and save it as a new file.
- To remove it, select Delete Version.
- Follow the on-screen prompt to finish the action.
Success Criteria
- Interface result: A new file is created after Save As, or the version disappears after deletion.
- Next action available: You can continue managing other versions.
Tips While Using
- Confirm that a version is no longer needed before deleting it.
