1. View version history
Entry:
- Entry 1: Collaboration tab → History → Version History
- Entry 2: File tab → History → Version History
- Open the collaborative spreadsheet that you want to review.
- Click the Collaboration tab at the top of the window.
- Click the History button on the toolbar.
- Select Version History from the drop-down menu.
- Review the version list in the right-side panel, shown in reverse chronological order.
- Check the version time, editor, and version description for each record.
Success Criteria
- Interface result: The version history panel appears on the right side.
- What you can do next: You can select a version for preview, restore, or another management action.
Tips While Using
- Common mistake: If the file is not a collaborative document, the related history entry may not appear.
- Permissions: Only users with editing permission for the document can view collaboration records and the history panel.
- Environment note: Loading collaboration records usually requires a network connection.
2. Use version actions
Entry: Version History panel → More button
- Open the Version History panel by following the steps in the previous section.
- Click the More button next to the target version.
- Select the action you need: Preview, Rename, Restore this version, Save As, or Delete version.
- If you want to restore a version, confirm that replacing the current content is acceptable before you continue.
- If you want to keep a version for long-term reference, use Rename or Save As before continuing to edit.
Success Criteria
- Interface result: The action menu for the selected version opens successfully.
- What you can do next: You can complete any of the available actions, including preview, restore, rename, save as, or delete.
- No side effect: The current document content is not replaced until you perform the restore action.
Tips While Using
- Common mistake: Restoring a version without backing up current edits may replace the current content.
- Suggestion: For versions that need to be kept for a long time, rename them or save them as a new file first.
