How-to Guide
1. Run a proofreading check
Entry: Review → Proofreading → General Proofreading / Batch Proofreading
- Click the Review tab at the top.
- Find the Proofreading button on the toolbar.
- Select General Proofreading or Batch Proofreading from the menu.
- Wait while the selected range is scanned.
- Review the detected issues in the right-side pane.
Success Criteria
- Interface result: A proofreading results pane appears on the right and lists detected issues.
- Next action available: You can correct, ignore, or skip each suggestion.
Tips While Using
- Common mistake: If the intended content is not selected first, the checked range may not match your expectation.
- Environment note: If proofreading does not run as expected, check whether the network connection is working.
2. Ignore or correct spelling suggestions
Entry: Proofreading results pane
- Review the issue location, issue type, and suggested correction in the right-side pane.
- Click Correct to apply the current suggestion.
- Click Ignore to keep the current content and skip that suggestion.
- Click One-click Fix to apply suggested fixes in batch.
- Click ... to add related content to a dictionary.
- Click Export Report to export a correction report.
Success Criteria
- Interface result: Processed items are updated or reduced in the current list.
- Next action available: You can continue with the next suggestion or export a report.
Tips While Using
- Common mistake: Applying batch fixes before reviewing sample suggestions may change multiple places at once.
- Environment note: It is helpful to finish the main corrections before exporting a report so the record is more complete.
3. Manage dictionaries
Entry: Review → Proofreading → Dictionary Management
- Click the Review tab at the top.
- Click the Proofreading button.
- Select Dictionary Management from the menu.
- Add or remove items such as approved words, incorrect words, sensitive words, terms, and names or titles on the management page.
Success Criteria
- Interface result: The dictionary management page opens and shows different dictionary categories.
- Next action available: You can add, remove, or adjust dictionary content and then return to proofreading.
Tips While Using
- Common mistake: Adding temporary wording to a long-term dictionary may affect later review results.
- Environment note: If a team uses shared terminology, confirm maintenance rules before making broad updates.
4. Adjust proofreading settings
Entry: Review → Proofreading → Settings
- Click the Review tab at the top.
- Click the Proofreading button.
- Select Settings from the menu.
- Adjust Check Items and Proofreading Preferences on the settings page.
Success Criteria
- Interface result: The proofreading settings page opens and the check configuration can be changed.
- Next action available: After saving the settings, you can run proofreading again with the updated rules.
