1. Set password protection for a new or current file

Feature entry: Top-right “≡” icon → Document Encryption → Turn on the “Password Encryption” switch

  1. Open the spreadsheet file you want to protect.
  2. Tap the top-right “≡” icon.
  3. Select Document Encryption from the list.
  4. Turn on the Password Encryption switch.
  5. In the pop-up panel, set the password as needed:
    • Set an open password: others must enter the password before viewing the file.
    • Set a modify password: others must enter the password before editing the file.
  6. Tap OK to finish.

Success Criteria

  • Interface result: The encryption settings are saved, and the corresponding password check appears when the file is opened or modified later.
  • Next action available: You can continue editing, saving, or sharing the file.

Tips While Using

  • Keep the password in a safe place. If it is forgotten, recovery is generally not available.
  • If you need to restrict both viewing and editing, set both the open password and the modify password.

2. Manage encryption settings for an existing file

Feature entry: Top-right “≡” icon → Document Encryption → Update the current password settings

  1. Open a file that already has encryption settings.
  2. Tap the top-right “≡” icon.
  3. Select Document Encryption.
  4. Turn off or adjust Set Open Password and Set Modify Password as needed.
  5. Tap Done to save the updated settings.

Success Criteria

  • Interface result: The new password policy takes effect, and the previous settings are updated based on your changes.
  • Next action available: You can continue saving the file and sharing it under the new access rules.

Tips While Using

  • Before changing an existing password, confirm whether recipients still need access to older shared copies.
  • After changing the password, send the new password to authorized people through a safer channel.
