1. Create a Categorical Summary
Entry point: Data tab → Categorical Summary
- Select any cell inside the data range.
- Click the Data tab, then click Categorical Summary in the Outline group.
- In the dialog box, set the grouping field by choosing the column used for grouping.
- Select a summary method such as Sum, Count, Average, Max, or Min.
- In the summary items area, select the data columns that should be calculated.
- Keep Summary below data selected by default.
- Click OK to complete the summary.
Success Criteria
- UI state: The worksheet shows grouped summary rows and a total structure based on the selected field.
- Next actions: You can expand or collapse outline levels to review detail rows and summary results.
Tips While Using
- Common mistakes: If you do not start from a cell inside the data range, the summary range may not be identified correctly.
- Environment limits: The data range should be continuous, use a header row, and avoid merged cells.
2. Create a Multi-Level Nested Categorical Summary
Entry point: Data tab → Categorical Summary
- Complete the first categorical summary.
- Click Categorical Summary again on the Data tab.
- Set the new summary method and summary items.
- Clear Replace current subtotals so the previous summary structure stays in place.
- Click OK to generate a two-level nested summary.
- Repeat the same process if you need more levels.
Success Criteria
- UI state: The worksheet shows a two-level or multi-level grouped summary structure.
- Next actions: You can use the outline levels to review results at different grouping depths.
Tips While Using
- Common mistakes: If Replace current subtotals remains selected, the previous summary structure will be overwritten.
- Environment limits: Sort or organize the data by the intended grouping fields before adding more levels.
3. Remove a Categorical Summary
Entry point: Data tab → Categorical Summary → Remove All
- Click any cell in the summarized data range.
- Open the Categorical Summary dialog box from the Data tab.
- Click Remove All in the lower-left corner of the dialog box.
- Click OK to return to the original data view.
Success Criteria
- UI state: The summary rows and outline structure are removed.
- Next actions: The original detail data can be edited, sorted, or summarized again.
Tips While Using
- Common mistakes: If you work outside the summarized range, the expected removal result may not appear.
- Environment limits: Removing the summary deletes the generated summary structure only and does not change the original detail data.
