1. Create a Categorical Summary
Feature entry: Data → Categorical Summary
- Select any cell inside the data range.
- Click the Data tab, then click Categorical Summary in the outline-related area.
- In the dialog box, set the grouping field and choose the column used for grouping.
- In summary method, choose the calculation you need, such as Sum, Count, Average, Max, or Min.
- In selected summary items, select the data columns to include in the summary.
- Keep the default option to show summary results below the data.
- Click OK to finish creating the summary.
Success Criteria
- The worksheet shows grouped summary results based on the selected field.
- The detail area displays an outline structure that can be expanded or collapsed.
- The selected columns display the expected summary values.
Tips While Using
- Keep the data range continuous and use a clear header row.
- Avoid merged cells in the data range.
- Clean up the grouping column before running the summary for more consistent results.
2. Create Nested Multi-level Summaries
Feature entry: Data → Categorical Summary
- Complete the first summary first.
- Click Categorical Summary again on the Data tab.
- Set a new grouping field, summary method, and summary items.
- Clear the option that replaces the current summary so the existing result is kept.
- Click OK to generate a two-level nested summary.
- Repeat the same process if you need more levels.
Success Criteria
- The worksheet shows two or more levels of grouped summary structure.
- The original summary remains in place and the new level is added on top of it.
- The outline controls let you expand or collapse the grouped levels.
Tips While Using
- Decide the outer and inner grouping order before adding more levels.
- If you leave the replace option selected, the earlier summary may be overwritten.
- When there are many levels, use the outline controls to review the result more clearly.
3. Remove a Categorical Summary
Feature entry: Data → Categorical Summary → Remove All
- Click any cell inside the summarized data range.
- Open the Categorical Summary dialog box again from the Data tab.
- Click Remove All in the lower-left area.
- Click OK to return to the original data view.
Success Criteria
- The summary structure is removed from the worksheet.
- The outline controls for the current summary no longer appear.
- The original detail data returns to its normal view.
Tips While Using
- Removing the summary does not change the original detail data itself.
- If you need the grouped analysis again later, you can recreate it with the same steps.
