1. Start collaboration from the Share button

Entry point: Upper-right corner of the document window → Share

  1. Open a document in WPS Office.
  2. Click the Share button in the upper-right corner.
  3. Turn on the switch for viewing or editing with others.
  4. Click Upload Now and wait for the document to switch to collaboration mode.
  5. After the upload is complete, set the link permissions.
  6. Click Copy Link and send it to collaborators.

Success Criteria

  • The document is uploaded to the cloud and enters collaboration mode.
  • You can copy a sharing link and send it to other people.
  • Collaborators can open the link and view or edit based on the assigned permission.

Tips While Using

  • Sign in to your WPS account before enabling collaboration.
  • A stable network connection is required during upload.
  • In collaboration mode, the document is saved to the cloud.

2. Enable sharing from the document list

Entry point: WPS Home document list → Right-click file menu → Share

  1. Open the WPS Office home page.
  2. Find the target file in Recent or WPS Cloud Documents.
  3. Right-click the file and select Share.
  4. Turn on the switch for viewing or editing with others.
  5. Click Upload Now and wait for the document to switch to collaboration mode.

Success Criteria

  • The target file enters the sharing flow directly from the list.
  • After the upload is complete, you can continue to set permissions or copy the link.

Tips While Using

  • Make sure you selected the correct file first.
  • If the file has not been uploaded yet, wait until the upload finishes before sharing it.

Entry point: Share panel → Link permissions

  1. In the sharing page, click the Link permissions drop-down menu.
  2. Select Anyone can edit, Anyone can view, or Specified people can edit/view.
  3. Set the link validity period as needed, such as 7 days, 30 days, or long-term.
  4. Save the settings and copy the link.

Success Criteria

  • The link permissions take effect as expected.
  • People who open the link can only perform actions within the assigned permission range.

Tips While Using

  • Confirm the permission setting before sending the link.
  • Permission changes take effect immediately.

4. View collaboration records

Entry point: Upper-left menu → Version history and records → Collaboration records

  1. Open a document that already has collaboration enabled.
  2. Click the menu icon in the upper-left corner.
  3. Select Version history and records.
  4. Open Collaboration records to check each collaborator's action time and changes.

Success Criteria

  • You can see collaborator names, action times, or edit records.
  • You can use the records to trace the document revision process.

Tips While Using

  • Records build up over time after the document is used in collaboration mode.

5. Enable collaboration when you cannot find the document

Entry point: Open local file / Home search box / More file actions

  1. If the target file does not appear on the home page list, open it locally in WPS first.
  2. In the document window, click Share in the upper-right corner to enable collaboration.
  3. You can also enter the file name in the search box on the WPS home page.
  4. In the search results, click more actions on the right side and then select Share.

Success Criteria

  • You can still enter the sharing flow even if the file is not shown directly on the home page.
  • The file uploads normally and generates a collaboration link.

Tips While Using

  • Use the full file name when possible to find the file more quickly.
