1. View version history

Entry: Collaboration tab → HistoryVersion History; or File ActionsHistoryVersion History

  1. Open the Smart Spreadsheet file.
  2. Click the Collaboration tab at the top.
  3. Click History on the toolbar.
  4. Select Version History from the drop-down menu.
  5. Review the version list in the right-side panel, shown in reverse chronological order.
  6. Check the version time, editor, and version notes for each record.

Success Criteria

  • The Version History panel appears on the right side.
  • You can see multiple saved versions and their timestamps.
  • You can select a version for further actions.

Tips While Using

  • This feature typically works in collaborative or cloud-based file workflows that support version records.
  • If the entry is not visible, make sure the file has been saved and synced normally.

2. Manage historical versions

Entry: Version History panel → More

  1. In the Version History panel, find the version you want to manage.
  2. Click the More button next to that version.
  3. Choose the action you need:
    • Preview: Review the content of that version.
    • Rename: Give an important version a clearer name.
    • Restore this version: Roll the current document back to that version.
    • Save As: Save that historical version as a new file.
    • Delete version: Remove a version you no longer need.
  4. Before restoring, confirm whether the current content should be backed up first.
  5. After the action is complete, return to the spreadsheet and continue editing or saving.

Success Criteria

  • The More menu opens for the selected version.
  • The selected action takes effect, such as previewing, renaming, restoring, saving as, or deleting.
  • The file state matches what you expected.

Tips While Using

  • Restoring a version replaces the current content with the selected historical version, so back up important edits first when needed.
  • Historical versions use cloud storage space, so regular cleanup can help with long-term file management.
