1. View version history from Collaboration

Entry path: Collaboration → History → Version History

  1. Open the Spreadsheet file.
  2. Click the Collaboration tab at the top.
  3. Click History on the toolbar.
  4. Select Version History from the drop-down menu.
  5. Review the version list in the right-side panel.
  6. Check the version time, editor, and version description for each record.

Success Criteria

  • The version history panel opens on the right side.
  • Historical versions are listed in time order.
  • You can see the version time, editor, and version description.

Tips While Using

  • Keep the network connection stable when viewing cloud-based version records.
  • If no history appears, confirm that the current file is a Spreadsheet file.

2. View version history from File Actions

Entry path: File Actions → History → Version History

  1. Open the Spreadsheet file and click the File Actions tab at the top left (☰).
  2. Click History and then Version History.
  3. Wait for the version panel to open.
  4. Browse the available version records in the panel.

Success Criteria

  • The top-left menu path opens the version history panel.
  • You can browse historical version records in the panel.
  • The panel shows the same type of version information as the Collaboration entry.

Tips While Using

  • Use this path when the top ribbon is less convenient.
  • If the menu item is unavailable, confirm that the file has finished loading.

3. Preview, rename, and save a historical version

Entry path: Version History panel → More

  1. Find the target version in the version history panel.
  2. Click the More button for that version.
  3. Select Preview to review the historical version.
  4. Select Rename if you want a clearer version name.
  5. Select Save As if you want to keep the old content without replacing the current file.
  6. Follow the prompts to save it as a new file.

Success Criteria

  • The selected historical version opens for preview.
  • The version can be renamed for easier identification.
  • Save As creates a separate file copy.

Tips While Using

  • Save As is useful when you want to keep older content and continue editing a new copy.
  • Naming important checkpoints makes later lookup easier.

4. Restore or delete a historical version

Entry path: Version History panel → More

  1. In the version history panel, click the More button for the target version.
  2. Select Restore this version to roll the file back to that version.
  3. Select Delete version if you no longer need that record.
  4. Confirm the action when prompted.
  5. After restoring, check whether the current file now matches the selected version.

Success Criteria

  • Restoring returns the current file to the selected historical version.
  • Deleting removes the unneeded version record from the list.
  • The file remains available for continued editing or saving.

Tips While Using

  • Restoring a historical version replaces the current content, so back up important edits first.
  • Confirm that a version is no longer needed before deleting it.
