1. Open Recent Changes from the Collaboration tab
Entry path: Collaboration → History → Recent Changes
- Open the spreadsheet you want to review.
- Select a specific cell or the range you want to inspect.
- Click the Collaboration tab.
- Click the History button on the toolbar.
- Select Recent Changes from the drop-down menu.
Success Criteria
- Interface result: You can see the Recent Changes menu entry.
- Next action available: You can continue to choose a view by scope or time range.
Tips While Using
- Common mistake: If the target spreadsheet is not open, you cannot review its change records.
- Environment note: A stable network connection is recommended for collaboration-related records.
2. View recent changes for a cell or range
Entry path: Collaboration → History → Recent Changes → Recent Changes for Cells
- Select the target cell or the range you want to review.
- Click History on the Collaboration tab.
- Select Recent Changes.
- Click Recent Changes for Cells in the submenu.
- Review the change records for the selected cell or range.
Success Criteria
- Interface result: The interface shows change records related to the current cell or range.
- Next action available: You can switch to another selection and review changes again.
Tips While Using
- Common mistake: If you do not select the target cell first, the result may not match the scope you expect.
- Environment note: Older records may no longer appear if they are outside the available retention window.
3. Review changes by time range for today, the last 3 days, or the last 7 days
Entry path: Collaboration → History → Recent Changes
- Open the Recent Changes menu.
- Check the available submenu options.
- Select Today's Changes, Changes in the Last 3 Days, or Changes in the Last 7 Days.
- Review the data change records for the selected time range.
Success Criteria
- Interface result: The change list updates to match the selected time range.
- Next action available: You can switch to another time range and continue reviewing records.
Tips While Using
- Common mistake: Choosing the wrong time range may show too many or too few records.
- Environment note: Records outside the available history window may not be visible.
4. Open change tracking from the File menu and filter records
Entry path: File menu → Recent Changes / Change Tracking
- Select the specific cell or range you want to review.
- Click the File menu in the upper-left area.
- Find Recent Changes in the menu.
- Choose the time period you want to review.
- Click Change Tracking to open the filter pane on the right.
- Filter records by Worksheet, Time, or All Actions.
- Click a specific record to jump to the related cell.
Success Criteria
- Interface result: The change filter pane appears on the right with available filter options.
- Next action available: Clicking a record takes you to the related cell location.
Tips While Using
- Common mistake: If you do not use filters when there are many edits, it takes longer to find the target record.
- Environment note: The visible record content depends on the available history range.
