How-to Guide
1. Run a proofreading check
Entry path: Review tab → Proofreading → General Proofreading / Batch Proofreading
- Click the Review tab.
- Find the Proofreading button on the toolbar.
- Select General Proofreading or Batch Proofreading from the drop-down menu.
- Wait while the selected range is scanned.
- Review the detected issues in the panel on the right.
Success Criteria
- Interface result: A proofreading results panel appears on the right and lists detected issues.
- Next action available: You can continue with correction, ignore, or skip actions.
Tips While Using
- Common mistake: If you do not select the intended range first, the checked area may differ from what you expected.
- Environment note: An internet connection is recommended when using proofreading.
2. Process proofreading suggestions
Entry path: Proofreading results panel
- Review the issue type, location, and suggested content for each item in the right-side results panel.
- Click Correct to apply the current suggestion.
- Click Ignore to skip the current suggestion.
- Click One-click Correction to process suggestions in bulk.
- Click ... to add the related word to a dictionary.
- Click Export Report to export a correction report.
Success Criteria
- Interface result: Processed suggestions are updated or removed from the current list.
- Next action available: You can continue with the next suggestion or export a report.
Tips While Using
- Common mistake: Before using One-click Correction, confirm that the current suggestions are suitable for the whole spreadsheet.
3. Manage dictionaries
Entry path: Review tab → Proofreading → Dictionary Management
- Click the Review tab.
- Click Proofreading.
- Select Dictionary Management from the drop-down menu.
- Add or remove entries such as approved words, incorrect words, sensitive words, terms, and names or titles.
Success Criteria
- Interface result: The dictionary management page shows and saves added or removed entries.
- Next action available: Later proofreading runs can reduce repeated prompts or apply more specific checks.
Tips While Using
- Common mistake: Adding temporary words to a long-term dictionary may affect later checks in other files.
4. Adjust proofreading settings
Entry path: Review tab → Proofreading → Settings
- Click the Review tab.
- Click Proofreading.
- Select Settings from the drop-down menu.
- Adjust Check Items and Check Preferences on the settings page.
Success Criteria
- Interface result: The settings page shows the current check items and preference options.
- Next action available: After saving, you can run proofreading again with the updated rules.
Tips While Using
- Common mistake: If you change preferences but do not run proofreading again, the results may still reflect the previous settings.
