1. Open print settings

Entry point: File actions button → Print, or Command + P

  1. Open the spreadsheet you want to print.
  2. Press Command + P, or click File actions and then select Print.
  3. Open the print preview window.
  4. Review the current worksheet in the preview area.

  • UI state: The print preview window is displayed.
  • Next actions: You can continue adjusting print options on the right side and start printing.

Tips While Using

  • Common mistakes: If the target worksheet is not selected first, the printed content may not match what you expect.

2. Print from the Home tab

Entry point: Home tab → Print button

  1. Open the spreadsheet file.
  2. Click the Home tab.
  3. Click the Print button.
  4. Confirm the document content in print preview and continue printing.

  • UI state: The print preview window opens from the Home tab.
  • Next actions: You can continue checking page content and print the worksheet.

  • Common mistakes: If you do not save recent edits before clicking Print, the output may not reflect your final changes.

3. Set print options

Entry point: Print preview window → print settings panel on the right

  1. Under Printer selection, choose a local printer or an available PDF output destination.
  2. Under Paper settings, set the paper size and page orientation.
  3. Under Print range, choose the current worksheet or define a page range.
  4. Set Print color, Pages per sheet, and Scaling as needed.
  5. Review the preview area to confirm the updated page layout.
  6. Click Print to finish the output.

  • UI state: The preview area updates based on the current settings.
  • Next actions: You can print immediately or go back and continue adjusting settings.

4. Adjust margins

Entry point: Print preview window → Margins / Adjust Margins

  1. In the print preview window, click Margins.
  2. Choose a preset margin option such as normal, narrow, or moderate.
  3. If you need finer control, click Adjust Margins.
  4. Drag the page boundary lines manually and watch the preview update.
  5. Confirm that the page content is not cut off, then continue printing.

  • Next actions: You can continue printing or return to adjust other page settings.
