Entry point: Insert → Pivot Table

  1. Select any cell in the source data range and make sure the data includes complete headers.
  2. Click Pivot Table on the Insert tab.

  4. Click OK to generate the Pivot Table area and open the field pane.

Success Criteria

  • Interface result: A new Pivot Table area appears in the worksheet.
  • What you can do next: The field pane is visible and ready for field placement.

Tips While Using

  • Common mistake: If the source data has no headers, field recognition may not work as expected.
  • Environment note: It is better to organize the data into a continuous range before creating the Pivot Table.

2. Configure Pivot Table Fields

Entry point: Pivot Table field pane

  1. Review the available field list in the pane.
  2. Drag the field you want to filter into the Filters area.
  3. Drag category fields into the Columns or Rows area.
  4. Drag the field you want to summarize into the Values area.
  5. Check whether the worksheet now shows the expected summary result.

Success Criteria

  • Interface result: The Pivot Table shows summary results organized by rows, columns, and values.
  • What you can do next: You can continue moving fields to change the analysis view.

Tips While Using

  • Common mistake: Putting an unsuitable field into Values can produce unexpected summary results.
  • Environment note: Clear field names make dragging and identifying fields easier.

3. Edit a Pivot Table

Entry point: Pivot Table field pane / right-click menu

  1. Click any cell inside the Pivot Table to activate the field pane again.
  2. Drag fields to different areas to reorganize the report.
  3. Click a field in the Values area and choose a summary method such as Sum, Count, Average, Max, or Min.
  4. Use filters to switch between different result views.
  5. After the source data changes, right-click the Pivot Table and select Refresh.

Success Criteria

  • Interface result: The Pivot Table changes when field positions, summary methods, or refresh actions are updated.
  • What you can do next: You can continue sorting, filtering, or adjusting fields again.

Tips While Using

  • Common mistake: If the source data changes and you do not refresh, the report may still show old results.
  • Environment note: If the source range changes a lot, confirm that the data range is still complete.
