How-to Guide
1. Use @ mentions
Entry: Double-click a cell and type @
- Double-click the cell where you want to notify a collaborator.
- Type @ and wait for the suggestion list to appear.
- Select the target person from Contacts.
- If needed, choose related content from Cloud Docs to insert into the cell.
- Confirm the content to finish the mention.
Success Criteria
- A selectable list appears after you type @.
- The selected mention is inserted into the cell.
- The collaborator can receive the related reminder.
Tips While Using
- Make sure the collaborator has permission to access the document.
- Keep the device online when using notification-related actions.
2. Insert a comment from the right-click menu
Entry: Select a cell → right-click menu → Insert Comment
- Select the target cell.
- Right-click the cell and choose Insert Comment.
- Enter the comment content in the input box.
- Click outside the box to save it.
- Check whether a comment marker appears in the upper-right corner of the cell.
Success Criteria
- A comment input box appears for the selected cell.
- A comment marker appears after saving.
- You can view the comment by hovering over or selecting the cell.
3. Insert a comment from the ribbon
Entry: Insert or Collaboration tab → Comment
- Select the target cell.
- Click Comment on the Insert or Collaboration tab.
- Enter the comment content in the pop-up box.
- Click a blank area to finish inserting the comment.
Success Criteria
- The comment input box opens normally.
- The comment is saved and the cell shows a comment marker.
- The comment can be viewed or replied to afterward.
4. View and reply to comments
Entry: Comment icon in the upper-right corner of the cell
- Click the comment icon on a cell that already has a comment marker.
- Review the existing comment and reply history.
- Enter your reply in the input box.
- Press Enter to send the reply.
Success Criteria
- The comment thread opens correctly.
- Your new reply appears in the same thread.
- Other collaborators can continue the discussion in that thread.
5. Delete comments
Entry: Select a commented cell → ... in the comment panel
- Select the cell that contains comments.
- Click the ... icon in the upper-right area of the comment panel.
- Click Delete Comment to remove the current comment.
- If needed, click Delete comments on this cell to remove all comments on that cell.
Success Criteria
- The selected comment or all comments on the cell are removed.
- Deleted comment content no longer appears.
- The cell comment status updates after deletion.
Tips While Using
- Confirm whether the discussion record still needs to be kept before deleting comments.
6. Resolve comments
Entry: Resolve and hide comment in the comment panel
- Click a cell that contains comments.
- In the comment panel, click Resolve and hide comment.
- Check whether the comment status changes to resolved.
- Switch views in the comments pane if you want to review all or unresolved comments.
Success Criteria
- The comment is marked as resolved.
- Resolved comments can be hidden from the active view.
- The history can still be reviewed in filtered views.
7. Change the comment marker color
Entry: Select a commented cell → ... → Change marker color
- Select the cell with a comment.
- Click the ... icon in the upper-right area of the comment panel.
- Find Change marker color.
- Select the color you want.
Success Criteria
- The comment marker color changes.
- The new color can help distinguish comment status or priority.
8. View all comments
Entry: Insert or Collaboration tab → Comment drop-down menu → All Comments
- Click Comment on the Insert or Collaboration tab to open the drop-down menu.
- Click All Comments to open the comments pane on the right.
- Review all resolved or unresolved comments in the pane.
- Filter comments as needed and select a target comment.
- Check whether the related cell is highlighted, then continue with actions such as resolving or reopening comments.
Success Criteria
- The comments pane opens on the right side.
- The pane shows a centralized list of comments and statuses.
- Selecting a comment helps you locate the related cell quickly.
